On behalf of our client, a government body, we are now recruiting for a Clerical Officer based in Tullamore, Co Offaly. This is a fixed-term contract of 9 months.
The candidate will work as part of the efficient and effective Finance Section. Performing duties as required; working with colleagues to ensure all deadlines are met and providing information and support to customers.
Duties:
* Entering purchase requisitions/orders and GRN’s on behalf of staff and enforcing compliance with procurement and purchasing rules
* To assist in the developing FMS systems and procedural improvements
* To assist staff with procurement process
* Liaising with a wide range of individuals and organisations
* To assist in collecting and collating of electricity meter readings, reporting and processing invoices through invoice approval system
* To assist with the processing of procurement card statements
* Register and management of Contract Notifications on ROS (Revenue Online Service)
* Assist in the development and implementation of appropriate policies and procedures in relation to all financial areas
* Control all supporting documentation, ensuring appropriate authorisation, filing and back up retention systems in compliance with GDPR
* Reporting and providing information
* Prepare and monitor reports as requested, such as outstanding invoices, GRN’s (Goods Received Notes) and purchase orders.
* Liaise with auditors and stakeholders as required
* Deal with enquiries complaints and queries in a professional manner
Other areas of work:
* Undertaking general office administration including, filing, photocopying, scanning, sending mail and general clerical work
* Maintenance of records and filing systems both manual and electronic to effectively manage all information within a section
* Compile reports, papers, proposals, letters, memos or charts using Word, Excel, Powerpoint as required
* Assist line management in carrying out duties of the Body as required
Eligibility Criteria
Qualifications
* Leaving Certificate (Standard / Ordinary level) – 5 grades A-D (including English and Mathematics) or equivalent, OR
* A minimum of three years’ experience of working to tight deadlines gained in an administrative/clerical role in a Procurement/Financial environment
