Hours: 40 hours per week - Based on an advanced rota between hours of 7am-7pm What will the role entail? Warmly greet and welcome all visitors upon arrival, ensuring a courteous and professional first impression. Promptly and professionally address tenant inquiries and concerns, fostering positive relationships with all stakeholders. Adhere to security protocols by accurately recording details of guests, suppliers, contractors, and other visitors. Issue visitor passes and employee identification cards in accordance with company procedures. Assist in upholding health and safety standards by supporting administrative tasks and promoting safe working practices. Ensure compliance with procedural requirements related to workplace safety and security. Coordinate contractor agreements, oversee equipment servicing, and manage related reports and remedial actions. Maintain accurate and up-to-date property files and tenant records. Assist with financial administration tasks, including verifying and issuing purchase orders. Administer third-party contractor agreements, ensuring all documentation is current and compliant. Order office supplies and commonly used items to maintain adequate stock levels. Perform general administrative duties such as archiving, filing, and document management. Complete necessary reports, including incident and daily activity reports, as required. What are we looking for? 2-3 years' minimum experience as a Front of House Receptionist. Facilities Administration is an advantage. Ability to multi-task and coordinate different projects simultaneously. Self-motivated and proven ability to work well under pressure. Good knowledge of Microsoft Office/Excel. Strong problem-solving ability. Positive attitude and good work ethic. An exceptional level of professionalism is essential.
