We are seeking a highly organized and detail-oriented team member to join our IT department. This role will be responsible for providing essential administrative support, including scheduling, documentation, communication, procurement, and coordination of tasks.
The successful candidate will have a working knowledge of Microsoft packages, including Excel, Teams, Outlook, and SharePoint. They will also have 2 years' experience in a similar role and excellent teamwork skills. Fluency in written and spoken English is essential, as well as the ability to communicate effectively with team members and external contractors.
Key responsibilities include:
* Undertaking general administration duties, including data inputting/exporting, filing, scanning, photocopying, and any other administrative duties as required
* Recording and monitoring departmental activities
* Generating reports for management
* Receiving invoices via email, inputting information onto database, filing invoices in appropriate folders via SharePoint, processing invoices to ensure correct information is on the invoices so that they can be signed off and sent to accounts payable for payment runs
* Ensuring timely purchase orders are raised
* Management of petty cash transactions
* Adherence to confidentiality policies at all times
* Coordination of ordering, renewals, and tracking of hardware, software, and licenses
* Communication with third-party vendors regarding quotes, warranty claims, and services
* Maintaining accurate records of equipment, license renewals, support logs, and user access permissions
* Assisting with scheduling meetings and departmental activities; managing calendars and preparing meeting notes
* Tracking and updating annual leave records for staff
* Maintaining and updating HR systems for the IT Department
* Supporting technicians and closing out offboarded users and roles on internal staff/IT role trackers
* Preparing reports for audits, updating policy documentation, and supporting compliance tracking
* Acting as the communication link between the IT team and other departments, ensuring queries and updates are well managed
* Assisting in planning and logistics for IT-related projects such as equipment rollouts, office moves, and user onboarding/offboarding
