JOB DESCRIPTION Job Title: Customer Service Representative Reports to: Customer Service Supervisor Qualifications /Experience ?
Educated to Leaving Certificate or similar preferred.
?
Previous experience preferred although full training will be provided.
?
Friendly, flexible and be willing to work as part of a team.
?
Good organisation and communication skills.
?
Ability to work under pressure and show initiative.
Key Responsibilities The principal duties and responsibilities of a Customer Service Representative are to ensure that our customers receive a positive experience in their communication with the Customer Service Department and that all orders and enquiries are dealt with in an efficient and professional manner.
Duties Processing Sales Orders ?
Taking customer orders via telephone, fax, post and e-mail.
?
Processing customer orders and invoices in a timely fashion ?
Liaise with the purchasing and service departments to provide accurate and continuing communication to customers with regard to outstanding back orders.
?
Ensuring all incoming shipments which contain backorder items are processed upon receipt of the copy GRN (good receipt note).
?
Should a product which is on backorder not be received within its due date, it is imperative that the customer is informed of the new expected delivery date.
?
Liaise with the stores department to ensure sales orders are dispatched when due and customer special requests are met.
(Eg. Certs of analysis, product literature etc.)
Standing Orders / Call Off Orders ?
Control and maintenance of weekly, bi-monthly customer standing and call off orders.
?
Processing customer complaints as per ISO QF100 Quality Standard.
?
Taking customer enquiries regarding price, product and technical queries and ensuring that these queries are followed up via the relevant departments.
?
Maintaining Customer Special Prices on the ERP system.
?
Proactively monitor Inventory reorder levels and to bring any suggestions on adjustments to reorder levels to the attention of the purchasing department and the relevant product manager.
?
Telephone manner must be of a professional nature, friendly and courteous at all times.
