Job Title: Office Administrator
Location: Athlone (Fully Onsite)
Working hours: 9am-5pm Mon-Fri
JOB PURPOSE
To provide autonomous, high quality support to the Management Team and other staff covering a variety of responsibilities and be responsible for all office management activities.
KNOWLEDGE, SKILLS AND EXPERIENCE
* Experience of working in an office administration / Exec PA role
* Experience of supporting multiple stakeholders
* Experience of working in a customer care, healthcare or patient focused environment
* Leaving Certificate or equivalent is essential
PRIMARY DUTIES & AREAS OF RESPONSIBILITY
i) To be the first point of contact for welcoming and attending to visitors’ needs and being an ambassador for the company.
ii) To arrange and co-ordinate internal and external meetings or video conferencing.
iii) To assist Management Team with travel requirements, including flight bookings, hotel reservations and all other travel-related administration.
iv) To monitor and control the follow-up of action points.
v) To coordinate and manage the facilities and services for the office – including liaison with third-party providers.
vi) Manage Patient Diagnostic Data with all relevant stakeholders.
vii) To manage ID tags and Office Access Control software for permanent/fixed-term employees.
viii) To provide support to other areas of the business as required.
ix) To support the business in office/building requirements as needed.
x) To look after facilities across the business including gas/electric, pest control, and cleaning suppliers.
xi) To set up new accounts where needed (i.e., stationery, cleaning contracts).
xii) To assist the General Manager and Management Team with various tasks as required.
