Payroll Specialist (USA & Canada) Location: Remote / Reports to Global Payroll Manager (Dublin, Ireland) About the Role Were looking for a meticulous and organized Payroll Specialist to join our growing global team. Reporting directly to the Global Payroll Manager in Dublin, youll be responsible for managing and executing the full in-house semi-monthly payroll cycle for employees across the United States and Canada. This position plays a key role in maintaining payroll accuracy, compliance, and efficiency, while collaborating closely with HR, Finance, and external vendors to ensure seamless operations. Key Responsibilities Process end-to-end payroll for employees in the USA and Canada, ensuring accuracy and compliance with all relevant laws and company policies. Partner with the HR team to maintain accurate employee master data, including new hires, terminations, and personnel updates. Administer and reconcile payroll deductions, pension plans, and 401(k) contributions, ensuring accurate remittance and compliance. Manage off-cycle and termination payments in line with federal, state/provincial, and local regulations. Calculate and process statutory and company leave payments in accordance with applicable policies. Ensure timely and accurate payroll tax filings, maintaining registrations with federal, state, and local authorities. Collaborate with tax agencies and service providers to resolve payroll tax issues. Prepare monthly payroll reconciliations, ensuring alignment between payroll registers and GL accounts. Support internal and external audits related to payroll and employee compensation. Respond promptly to employee and stakeholder inquiries related to payroll matters. Assist in system upgrades, integrations, and implementations of payroll platforms. Continuously enhance payroll processes and internal controls to improve accuracy, efficiency, and compliance. Manage relationships with third-party payroll vendors and ensure service-level compliance. Partner effectively with cross-functional teams to maintain high-quality support and exceptional service delivery. Ensure the department consistently meets deadlines and performance targets. Collaborate with global partners to maintain accurate and timely payroll feeds across all regions (e.g., ADP in the US, Canada, Singapore, Australia, and Malaysia). Qualifications & Experience Minimum of 5 years experience in payroll processing. In-house payroll experience in the USA and Canada is required. Additional experience with payrolls in Ireland, the UK, or other EMEA countries (e.g., Denmark, Netherlands, Germany, France, etc.) is an advantage. Strong understanding of US and Canadian payroll tax laws, pensions, benefits, and wage regulations. Advanced proficiency in ADP Workforce Now, Workday, and Microsoft Excel/Word. Exceptional attention to detail and organizational skills. Excellent verbal and written communication abilities. Proven ability to manage multiple priorities in a fast-paced environment while maintaining accuracy and meeting deadlines.
