Medical Directorate Support Supervisor
This role involves providing administrative support to the Medical Directorate, ensuring the smooth operation of daily activities and contributing to the achievement of hospital and directorate objectives.
Key Responsibilities
* Carry out administrative tasks as directed by the directorate management team, adhering to established standard operating procedures.
* Plan and organize work to meet established objectives and deadlines, understanding and adhering to relevant hospital policies, guidelines, and procedures.
* Participate in performance review and development of a personal development plan with line manager, maintaining compliance with mandatory training.
* Provide a variety of administrative functions and an efficient clerical service to the Medical Directorate.
* Assist in planning, coordination, and direction of daily operations, working with the Medical Directorate Support Manager to achieve hospital and directorate KPIs, goals, and objectives.
* Encourage good working relationships within multidisciplinary staff and other hospital departments, providing cover for Directorate Support Managers or Supervisors when needed.
* Liaise daily with departments and administrators under remit, monitoring performance and adherence to Standard Operating Procedures, ensuring sufficient staffing for frontline services.
* Maintain and update local clerical staff HR records, induct staff into the Medical Directorate, arrange access to requisite systems, and record staff leave/absences on relevant systems.
* Monitor staff behavior and performance, addressing shortfalls according to policy guidelines.
Requirements
* Candidates must have satisfactory experience as a Clerical Officer in the HSE, TUSLA, or equivalent, or have obtained a pass in at least five subjects from the approved list of subjects in the Department of Education Leaving Certificate Examination, including Mathematics and English or Irish.
* Hold a comparable and relevant third-level qualification of at least level 6 on the National Qualifications Framework maintained by Qualifications and Quality Ireland (QQI).
* Age restriction shall only apply to candidates who are not classified as new entrants.
* Candidates must be fully competent and capable of undertaking duties attached to the office and be in a state of health indicating a reasonable prospect of ability to render regular and efficient service.
* Be of good character.

Working Hours
Monday – Friday, Target Hours: 35 per week, Start Time: between 07:30am – 10:00am, End time: between 15:30 – 18:30pm, ensuring at least one supervisor is on site at 07:30am daily and one remaining on site until 17:00pm daily.
