Responsibilities
Key Responsibilities:
Delivery of Results:
• To provide full administrative and secretarial support to the Education, Learning and Development function within Beaumont Hospital.
• To ensure that all administration systems are in line with best practice and up to date.
• Manage and deal with all queries, electronic and face to face in relation to ELD Programmes, managing multiple projects and activities.
• Administer the set-up of internal programmes in conjunction with ELD staff, including venue set-up, catering, marketing of events, record keeping with regard to attendance.
• Ability to prioritise and use resources efficiently to ensure all outputs are delivered in a timely manner.
Analysis & Decision Making:
• Management and analysis of programme attendee feedback, creating electronic feedback forms and QR codes, and distilling information from feedback into both qualitative and quantitative data for distribution to Subject Matter Experts.
• Maintenance of training records for ELD and related programmes. Manage attendance on Boris and update attendance and manage DNA's for mandatory programmes.
• To generate and provide reports on training activity at quarterly intervals from Boris.
• Utilising internal processes and ensuring ELD Training Budgets are maintained in line with policy. Responsibility for maintaining up to date records and creating monthly financial reports.
Communication & Personal Effectiveness:
• To process the following staff supports, Conference and Seminar Leave, 3rd Level Study and Exam Leave, Third Level Funding Supports. Ensure that all revelant document is submitted and checked in line with current CPD Policy and maintaining records for all ELD applications.
• Maintain effective communication networks with internal and external stakeholders and participate in the development of communication processes.
• Ability to demonstrate clear communication skills, listening skills, verbally and in writing, appropriate to the audience.
Specialist Knowledge, Expertise & Self Development:
• To prepare and produce statistics in relation to ELD training budgets as may be required by various internal and external stakeholders in a timely manner.
• To continuously develop expertise within the administrative frameworks required to support Education, Learning and Development.
• To provide full secretarial support to the department. Attendance at meetings – as required. Minute taking, assistance in the production of presentation materials and related administration work.
• Perform other duties incidental to the work described herein.

Selection Criteria:
Selection criteria outline the qualifications, skills, knowledge and/or experience that the successful candidate would need to demonstrate for successful discharge of the responsibilities of the post.

Mandatory:
Professional Qualifications, Experience, etc.(a) Eligible applicants will be those who on the closing date for the competition:
(i) Have satisfactory experience as a Clerical Officer in the HSE, TUSLA, other statutoryhealth agencies, or a body which provides services on behalf of the HSE under Section38 of the Health Act 2004.
Or
(ii) Have obtained a pass (Grade D) in at least five subjects from the approved list of subjectsin the Department of Education Leaving Certificate Examination, includingMathematics and English or Irish1. Candidates should have obtained at least Grade Con higher level papers in three subjects in that examination.
Or
(iii) Have completed a relevant examination at a comparable standard in any equivalentexamination in another jurisdiction
Or
(iv) Hold a comparable and relevant third level qualification of at least level 6 on theNational Qualifications Framework maintained by Qualifications and Quality Ireland,(QQI).
Note1
Candidates must achieve a pass in Ordinary or Higher level papers. A pass in afoundation level paper is not acceptable.Candidates must have achieved these grades on the Leaving Certificate Establishedprogramme or the Leaving Certificate Vocational programme.The Leaving Certification Applied Programme does not fulfil the eligibility criteria.

(b) Candidates must possess the requisite knowledge and ability, including a high standard of suitability, for the proper discharge of the office.
1. AgeAge restriction shall only apply to a candidate where s/he is not classified as a new entrant (within the meaning of the Public Service Superannuation (Miscellaneous Provisions) Act, A candidate who is not classified as a new entrant must be under 65 years of age on the first day of the month in which the latest date for receiving completed application forms for the office occurs.
