Based in our Service Department in Mullingar, Co. Westmeath, this role is integral to the smooth running of our service and maintenance operations. The Service Coordinator will be responsible for scheduling maintenance work, liaising with customers, ordering parts, and supporting the service team with administrative and technical tasks. This position requires a mechanically minded individual who enjoys working in a fast-paced environment, ideally someone with experience in the automotive sector or in mechanical services such as an automotive parts retailer, mechanics or a similar setting and who possesses strong administrative skills.
Reporting to: Service Manager
Hours:40hrs per week
Days: Monday to Friday: 8am-5pm.
ESSENTIAL CRITERIA
* At least 1 years’ experience in an administrative role.
* Background or strong understanding of mechanical systems (e.g., engines, machinery, or workshop operations).
* Excellent organisational and time management skills.
* Strong attention to detail and accuracy.
* Proficient in Microsoft Office and other computer-based systems.
* Ability to communicate effectively with technicians, suppliers, and customers.
* Problem-solving mindset with the ability to multitask in a busy environment.
DESIRABLE CRITERIA
* Previous experience coordinating service or maintenance teams.
* Knowledge of fire protection systems or similar industries.
* Strong technical understanding and ability to interpret mechanical issues.
* Highly motivated with a proactive approach to work.
* Experience in a garage, tyre shop, or mechanical service environment preferred.
DUTIES & RESPONSIBILITIES
·Coordinate and schedule service jobs for field technicians.
·Liaise with customers to arrange maintenance visits and respond to queries.
·Order and manage stock of spare parts and consumables.
·Monitor technician reports and issue conclusions based on findings.
·Compile quotations based on service reports and customer requirements.
·Maintain and update service records, job cards, and online databases.
·Process job costing, ensuring accuracy in billing and stock allocation.
·Assist the Service Manager in project scheduling and administrative tasks.
·Handle incoming calls and provide support to customers and technicians.
·Ensure smooth workflow and communication between the service team and other departments.
