PCI College – Job Description

Title: PCI Counselling Service Co-ordinator

Reports to: PCI Counselling Service Manager

Salary: €30,000 - €33,000 Pro Rata: 30 hours per week

Purpose of this role

The primary role of the PCI Counselling Service Co-ordinator is to manage the referral path between the client and the trainee counsellor, ensuring an efficient and smooth-running service. The Counselling Service Co-ordinator will work closely with the Counselling Service Manager to ensure service provision in compliance with PCI College's 4-way Placement Agreement, IACP Ethical Guidelines and IACP Course Criteria. In addition, this role will include administrative tasks and assisting with the marketing and expansion nationwide of the PCI Counselling Service. This role requires compliance with all confidentiality and GDPR protocols.

Key Responsibilities

Venue Management

* Manage and maintain a database of capacity and availability for counselling space in each region, including information related to online counselling sessions and the pre-accredited tier.

* Manage and maintain a Counselling Service calendar for each service location, including making room bookings for counselling sessions.

* Direct management of the counselling rooms within Corrig House.

* Identify regions that require establishing a new venue space, as per the needs of the trainee, and establish new venue links.

* Ensure all counselling venues are managed in line with the PCI College 4-Way Placement Agreement.

* Ensure service level agreements related to room rental are adhered to where appropriate and provide regular handovers to the Counselling Service Manager.

Counsellor Recruitment, Support and Co-Ordination

* Ensure that the placement role being offered is in line with the student's training i.e. be familiar with the programme aims and objectives.

* Provide an induction for the placement trainee counsellor into the service, including an online live induction, and communicate suggested updates/improvements for the induction process to the Counselling Service Manager.

* Ensure that PCI College's 'easing into client work' process is adhered to, as outlined within the 4-Way Placement Agreement.

* Provide the Trainee Counsellor with guidelines around keeping case notes, clarifying ownership and what happens to the case notes once the placement agreement ends.

* Review the student placement regularly, providing additional support should the need arise.

* Liaise with the PCI College Clinical Manager regularly to maintain two-way communication and monitor the trainee's progress and performance.

* Monitoring and evaluation of trainee counsellor's progression

* Be the first point of contact for trainee/pre-accredited counsellors of the Service.

* Provide a positive working environment for the trainee counsellor.

* File all case notes securely for all clients of the Service on completion of their counselling relationship.

* Conduct an exit interview with the trainee counsellors upon completion of their placement.

Counselling Service Delivery:

* Undertake client assessments as per the screening protocols in place ensuring confidentiality and best practice of GDPR at all times.

* Return client calls within 24 hours.

* Complete an analysis of 'best fit' when pairing incoming clients with trainee/pre-accredited counsellors to consider the exclusion criteria and client ratios that should be applied to trainees.

* Maintain and manage the Counselling Service Student Directory and Waiting List as per the directed protocols.

* Maintain and manage client and trainee/pre-accredited record systems through the use of CRM (Microsoft Dynamics).

* Ensure that clients are aware of their allocated counsellor's status, i.e. trainee or pre-accredited.

* Input into the design of policies and procedures and ensure implementation of same.

* Ensure the service is delivered in line with IACP ethical guidelines and PCI College's 4-way placement agreement.

* Assist the Counselling Service Manager in the implementation of service updates in line with CORU and training provider placement requirements.

* Report to and liaise with the Counselling Service Manager regarding the delivery of the service.

Counselling Service Referral Pathways and Promotion

* Assist PCI College's Marketing Team with promotion of the Service, where required

* Assist trainees with the promotion of the service where required

* Assist the Counselling Service Manager in establishing links in the community nationwide.

* Assist the Counselling Service Manager in the expansion of the service.

* Represent the Service at functions as required, including Expos, Open Evenings, and similar events.

General Duties

* Maintain own continuing professional development

* Take on any other work in collaboration with the PCI Counselling Service Manager

* Assist the Counselling Service Manager with company presentations

Essential

* Accredited or pre-accredited qualification in counselling/psychotherapy

* Active membership of a relevant professional body, i.e. IACP, IAHIP, BACP

* Significant recent clinical experience

* Ability to assess client's needs and risks

* Ability to communicate effectively with clients, students and colleagues both verbally and in writing.

* Experience in meeting deadlines

* Excellent presentation skills

* Knowledge of CRM system – Microsoft 365- Word, Excel, and Teams

* Ability to develop and maintain relationships with a variety of stakeholders

* Dedication to providing exceptional customer service

* Positive team player with the ability to work on their initiative

* Good organisational skills and attention to detail

* Friendly, enthusiastic, outgoing approach

Desirable

* Experience carrying out client assessments

* Experience or prior training in Suicide Prevention and Self-harm

* Experience working with trainee counsellors

* Experience working within the education sector
