Please note that this role is office-based in Dublin 2.
Office & Finance Manager
Role & Responsibilities
ACCOUNTS
· Day to day responsibility for accounts
· To keep the firm's accounts up to date
· Significant data entry – speed and accuracy essential
· All bank reconciliations and month-end reporting along with all other reconciliations
· Credit Control
· Accounts Payable
· Compliance with Solicitors Accounts Regulations
· Online Banking, cheque payments and enforcement of verification policies and procedures
· Billing and invoices on each matter
· Maintaining all necessary and appropriate records in compliance with all relevant regulatory and office requirements
· Generating reports and distributing to partners. Overseeing action required to be taken in respect of same
· Managing aged debt
· Supporting fee earners and support staff on billing and funds transfer transactions
· Revenue online – Withholding tax- VAT returns – Payroll returns
· Assisting external auditors and accountants with SARs reporting and year-end accounts preparation.
FACILITIES
· Provision of appropriate facilities for staff
· Office equipment and the related maintenance contracts
· Liaison with all suppliers
· Ensuring facilities comply with Health & Safety regulations
· Maintaining all required office inventories – equipment, IT, service provider contact details, etc.
PURCHASING
· Ordering and monitoring of office supplies and payments
· Purchase agreements with external suppliers.
STAFF RESOURCING & HUMAN RESOURCES
· Staff management
· Payroll
· Supervision of secretarial and administrative staff
· Appropriate allocation of work to legal secretaries and executives
· Recruitment of secretarial and administrative staff
· Sourcing of temporary staff where appropriate
· Training of secretarial and administrative staff
· Management of support cover
· Induction process for new staff
· Maintain records of sickness and holidays and management of both
* Implementing and maintaining HR policies and procedures to support a positive workplace environment.
INFORMATION TECHNOLOGY
· Strong IT skills
· Liaison with external providers to ensure that IT infrastructure is appropriate for the needs of the practice
· Providing internal IT support to staff
· IT usage policy e.g. e-mail policy
· Phone system
· Management and understanding of Case Management system (Keyhouse), SAM and Sage.
INTERNAL COMMUNICATIONS
· Working with the Head of Communications to ensure the efficient flow of information within the practice
· Regular meetings with support staff, and fee earners as required.
THE PERSON
* Previous experience in a legal practice including staff management and payroll – minimum 3 years' experience
· A highly motivated individual
* Highly developed organisational skills with an ability to take on and complete multiple tasks within agreed timescales
· Proven ability to take responsibility and act on own initiative
· Highly professional - committed to excellence in approach to work
· Working knowledge of Microsoft Office and ideally Keyhouse Case Management
· Capacity to communicate effectively
