Role Purpose:
To support the Maintenance Department by ensuring that all documentation related to maintenance activities is accurately recorded,
well-organised, and compliant with both regulatory and internal standards.
This role acts as a link between maintenance personnel and administrative systems, helping to streamline communication and improve traceability.
Key Responsibilities:
* Maintain accurate and up-to-date maintenance records (e.g., servicing logs, pre-production checks, corrective actions).
* To assist in ordering of stock items & to track stock used through the CMMC system .
* To carry out stocktakes when required.
* Organise and file paperwork related to equipment, storage, and asset maintenance.
* Assist with the preparation, distribution, and collection of maintenance checklists and inspection forms.
* Monitor the completion of paperwork and follow up on any outstanding records.
* Ensure traceability of actions taken on assets, particularly in relation to compliance and tax documentation.
* Support the transition to (a CMMS system) digital tools* (e.g. Lean FM), including formatting documentation for upload and reporting any system issues.
* Liaise with department heads to confirm checks are role-appropriate and comprehensive.
* To assist in any other tasks assigned by the Head of Maintenance.
*The transition to (the CMMS system) (e.g. Lean FM) involves moving from paper-based maintenance documentation to a digital system that records,
schedules, and tracks maintenance tasks and checks. This shift includes identifying & inputting all relevant assets, defining role-based responsibilities,
digitising pre-production and maintenance checklists, and training staff to use the app.
The goal is to improve traceability, standardise procedures, and reduce reliance on manual paperwork, while maintaining compliance and operational efficiency.
