A global aircraft leasing company with a strong international presence is seeking a highly organised and professional
Administrator / Team Assistant
to join their team in Dublin 2. This role is ideal for someone who thrives in a fast-paced, corporate environment and is passionate about providing exceptional administrative and front-of-house support.
The Opportunity
As the
Administrator / Team Assistant
, you will be the first point of contact for the Dublin office. Working closely with the Office Manager and Senior Executive Assistant, you will ensure a welcoming and professional environment while supporting the team with a variety of administrative responsibilities.
Key Responsibilities
* Greet and welcome visitors, ensuring a professional front-of-house experience
* Manage meeting rooms, bookings, and video conferencing setup
* Keep kitchen, stationary areas, and bathrooms stocked and tidy
* Coordinate travel bookings via external travel agency
* Prepare and submit expense claims using Concur
* Support with document execution and obtaining signatures
* Order kitchen supplies and general office materials
* Organize catering for meetings and events
* Coordinate post, courier services, and building access passes
* Assist with onboarding/offboarding processes
* Maintain internal office logs (couriers, pass loans, etc.)
* Post updates and internal communications via Microsoft Teams
* Provide general administrative support to the wider Dublin team
* Take on additional tasks and small projects as required
What We're Looking For
* 2–3 years' experience in a similar administrative or reception role, ideally in a global corporate environment
* Proactive and adaptable team player who takes initiative and ownership
* Exceptional communication and interpersonal skills
* Strong organizational skills with excellent attention to detail
* Discreet, dependable, and able to handle confidential information
* Confident in Microsoft Office (Outlook, Excel, Word, Teams, etc.)
* Experience with Concur or similar expense software is a plus
Additional Information
* Location:
Dublin (fully onsite; hybrid option available after 6 months)
* Working Hours:
Monday to Friday, 8:30 AM – 5:00 PM
* Salary:
€40,000 – €50,000 (depending on experience)
