Job Title: Medical Administrator / Secretary
Company: Hibernian Urology Ltd
Reporting to: Practice Manager or nominated representative
Bases: Carrickmines, Dublin 18 / Beacon Hospital / Bons Secours Hospital, Glasnevin.
Contract Type: Full-time or limited part time (i.e. 4.5 days)
Hours of work. 40 hours per week. Mon to Fri – 9am to 5pm Variable with 2 early morning starts at 7.30 am in either hospital.

Our practice offers a wide range of Urology services, and we are looking for a dedicated Medical Administrator / Secretary to join our team.
Job Summary
We are seeking an organized and efficient Medical Administrator to join our team. The ideal candidate will participate in ensuring smooth operation of the practice by managing administrative tasks, handling patient inquiries, and maintaining accurate records. This role requires excellent communication skills, a keen eye for detail, and the ability to multitask in a fast-paced environment.
Key Responsibilities:
1. Administrative Support: Provide comprehensive administrative support to medical staff, including scheduling appointments, managing calendars, and coordinating clinics.
2. Patient Interaction: Greet patients, answer phone calls, and respond to emails in a professional and courteous manner. Assist patients with inquiries, appointment bookings, and follow-up care.
3. Record Keeping: Maintain accurate and confidential patient records, ensuring all information is up-to-date and filed correctly. Manage electronic health records (EHR) and paper files.
4. Billing and Invoicing: Process patient payments, and prepare invoices.
5. Office Management: Maintaining office equipment, and ensuring a clean and welcoming, safe environment.
6. Correspondence: Manage correspondence, including letters, emails, scanning and filing
7. Compliance: Ensure the practice adheres to all relevant regulations and standards, including data protection and confidentiality policies.
8. Communication: Liaise with consultant, attend clinic with consultant
Qualifications and Skills:
· Communication: Excellent verbal and written communication skills in English. Ability to interact professionally with patients, medical staff, and external stakeholders.
· Technical Skills: Ideally proficiency in using medical software, electronic health records (EHR), and standard office applications (MS Office Suite) essential.
· Education: A relevant qualification in medical administration or a related field is preferred but is not mandatory.
· Experience: Minimum of 2 years' experience in a similar role within preferably in a medical setting.
· Organizational Skills: Strong organizational and multitasking abilities. Attention to detail and accuracy in all tasks.
· Interpersonal Skills: Compassionate and patient-focused with a friendly and approachable demeanour.
· Problem-Solving: Ability to handle stressful situations calmly and efficiently. Proactive in identifying and resolving issues.
· Confidentiality: Commitment to maintaining patient confidentiality and handling sensitive information with discretion.
· Driver: Full driving licence and full use of a car essential.
