Unijobs on behalf of our public sector client have a requirement for a
Business Support Officer
to provide administrative support to the Chief Operations Officer (COO).
The duration of this post is
12 months
initially with likely extensions thereafter.
Location
is
Flexible, Hybrid Working will apply
(must be able to attend client sites when required).

Working
35 hours per week,
the successful candidate will be employed as an agency employee and will be paid an hourly rate of
€28.04 per hour
based on an
annualised salary of €51,206.
You will
accrue 30 days annual leave
per year and
paid Bank Holidays.

The Business Support Officer will provide a wide range of administrative support to the COO. S/he will play a key role in representing the COO in all dealings with both internal and external stakeholders, maintaining the highest professional standards and maintaining the highest levels of confidentiality in all matters.

Key Responsibilities & Duties:

* Calendar & Meeting Management
: Manage a complex, high-level calendar, organize and schedule meetings, arrange board meetings, and prepare all necessary documents and agendas.

* Administrative Support
: Handle general administration, including creating and update records and databases on SharePoint, preparing reports and acting as a point of contact for various stakeholders.

* Communication
: Serve as a liaison between the COO and internal/external stakeholders, ensuring clear, effective communication and preparing high-level correspondence.

* Project Support
: Provide project management support to the COO, potentially leading or coordinating multiple projects to successful completion.

* Reporting & Documentation
: Draft and prepare reports, presentations, and meeting minutes with a high degree of accuracy and conciseness.

* Confidentiality
: Handle highly confidential information with the utmost discretion and professionalism

Eligibility Criteria:

Candidates must demonstrate the following:

* A minimum of 2 years' experience working in a similar role, providing support to a Senior Manager in a busy environment.
* Experience of having an excellent working knowledge of the full MS Office suite including MS Project, MS Teams, MS Excel, MS PowerPoint, SharePoint, Power BI, MS Outlook, etc.
* Good problem solving, analytical and decision making skills.
* Evidence of production of quality deliverables including e.g. Meeting Agendas, Minutes, Status Reports

Access to appropriate transport is required to fulfil the requirements as post may involve travel from time to time.

Professional Knowledge & Experience

Demonstrates:

* Excellent working knowledge of MS Office skills to include MS Teams, Word, Excel and PowerPoint and experience of using them to effectively manage workloads
* Knowledge of MS Project and SharePoint
* Knowledge of the Healthcare industry and how it works
* Experience in a project support and / or management support role
* Experience of working with a variety of stakeholder groups

* Strong written communication skills.
* The ability to build and maintain relationships with a variety of stakeholders.

Demonstrates:

* Excellent planning and organisational skills including using computer technology effectively.
* The ability to manage deadlines and effectively handle multiple tasks.

Evaluating Information, Problem Solving & Decision Making

Demonstrates:

* The ability to appropriately analyse and interpret information, develop solutions and contribute to decisions quickly and accurately as appropriate.
* Initiative in the resolution of complex issues.
* The ability to recognise when it is appropriate to refer decisions to a higher level of management.
* A capacity to develop new proposals and recommend decisions on a proactive basis.
* Flexibility, problem solving and initiative skills including the ability to implement change.

Team Working

Demonstrates:

* The ability to work both independently and as part of a team.
* Motivation and an innovative approach to the job within a changing working environment.
