Purpose of the Vacancy
The Administrative Operator is central to ensuring smooth administrative operations at the dental hospital, acting as a point of coordination between patients, clinical teams, and the call centre to support high-quality patient service and efficient workflow.
Key Responsibilities
Administrative & Documentation Duties
Complete and process insurance claim forms accurately and on time.
Prepare and manage Med2 and other medical/dental documentation.
Handle patient referrals, ensuring completeness and proper recording.
Maintain accurate patient records in compliance with data protection standards.
Patient & Call Centre Support
Professionally handle patient enquiries via phone, email, and in person.
Provide prompt support to the call centre to help resolve patient issues.
Respond to emails related to appointments, referrals, insurance, and patient questions.
Liaison & Coordination
Serve as the main administrative contact between patients, dentists, clinical staff, and the call centre.
Work with clinical teams to resolve queries efficiently.
Follow up on outstanding administrative issues to uphold patient satisfaction.
Task Management & Workflow
Use Wrangle (task management software) to log, track, prioritise, and complete administrative tasks.
Ensure tasks are delegated appropriately and followed through to resolution.
Monitor task progress and escalate unresolved issues for timely outcomes.
General Administration
Support day-to-day administrative activities that enable smooth hospital operation.
Assist with scheduling, correspondence, and other clerical functions as needed.
Facilitate compliance with hospital policies, procedures, and regulatory requirements.
Requirements: Competencies & Skills
Essential
Previous experience in an administrative role (healthcare or dental setting preferred).
Strong organisational and time-management skills.
Excellent verbal and written communication skills.
Ability to handle multiple tasks in a fast-paced environment.
High attention to detail and accuracy.
Professional, patient-focused, and team-oriented mindset.
Proficiency with Microsoft Office, email systems, and task management tools.
Desirable
Experience in a dental or medical environment.
Familiarity with insurance claims and dental/medical forms.
Experience with Wrangle or similar task management systems.
Exposure to working with call centres or multiple team collaborations.
Knowledge of patient management or dental software.

Details Before Applying
Contract type: Fixed-term
This is a full-time position, with a minimum commitment of 35 hours per week.
Typical shifts are scheduled between 8:00-16:00 or 9:00-17:00
The position is based on-site at 16 Dame Street, Dublin.
