Deputy Manager

Dublin City Volunteer Centre (DCVC) is recruiting for a Deputy Manager.

The Role

Job Title:Deputy Manager

Reporting to:Centre Manager

Location: Unit 4, Whitefriars, Aungier Street, Dublin 2 & remote (blended)

Purpose of Role

To work with the Centre Manager in leading and managing staff to deliver services to Volunteers and Volunteer-Involving Organisations, as well as supporting the Centre Manager to deliver on the overall aims and objectives of Dublin City Volunteer Centre.

Key areas of work

Human Resources, Staff and Volunteer Management

1. Line manage and/or support the Centre's operational staff and internal volunteers
2. Lead the annual review of each staff member
3. Lead probation reviews as necessary
4. Hold monthly support and supervision meetings with staff
5. Support staff members in creating and implementing personal development plans
6. Ensure all staff are adequately trained to provide a quality service
7. Ensure internal volunteers are appropriately recognised and rewarded, and understand the impact of their work in the organisation
8. Ensure internal volunteers receive regular communication and updates
9. Update volunteer policies and procedures as appropriate and develop new documentation as required
10. Oversee the recruitment and induction of staff and internal volunteers
11. Provide key volunteer management/ leadership expertise in the design phase of new projects involving internal volunteers

Organisational Management and Leadership

12. Oversee the implementation and evaluation of the Centre's workplan and support staff in their achievement of agreed objectives
13. Actively support the delivery and implementation of the Centre's strategic plan
14. Collaborate with key partners (including volunteer centres and local and national government) to deliver actions and mutual projects
15. Develop and manage relationships with stakeholders
16. Keep up to date with volunteering issues regionally, nationally and internationally
17. Support the Centre's work to increase volunteerism, voluntary activity and promote and develop best practice in volunteering
18. Speak about/represent the Centre on issues related to volunteering
19. Support the manager in representing DCVC at Volunteer Centre Network meetings and other relevant regional/national events and/or meetings; play an active role in national VC working groups
20. Deliver training, workshops and events related to DCVC's work where necessary
21. Uphold the principles of equal opportunities and anti-discriminatory practice in all aspects of work
22. Support the organisation's development, review and implementation of policies in order to meet strategic objectives and statutory obligations
23. Oversee the organisation's administrative functions, including working with the organisation's payroll and accounting contractors
24. Act in place of the Centre Manager when necessary
25. Such other duties which do not change the nature of the post as may be determined by the board in response to contractual developments and needs

Quality, Governance and Impact

26. Support the organisation's outcome and impact measurement
27. Ensure that quality checks are carried out across the assigned service areas; proactively make recommendations about continuous quality improvement
28. Ensure staff members understand how to use the national volunteering database, I-VOL, in the agreed manner, procedurally and legally
29. Support the work of the Board of Directors and the Governance, HR and Finance sub-groups and deliver on agreed policies and procedures
30. Assist with risk assessments of new projects and inform the Centre Manager of emerging risks

Person Specification

We are looking for someone who is able to work collaboratively with colleagues and lead people effectively.A strategic mind-set, critical thinking skills and a focus on quality outcomes are key. You will understand how good data and processes contribute to effective service delivery. Volunteer Centres are required to be agile and flexible, adapting to evolving service needs and thus you will be resilient, able to problem-solve and adapt to change and/or your personal leadership style when required.

You will be passionate about the transformative power of volunteering and how it effects positive social change.

Person Specification (Essential)

31. Relevant experience in supporting others to achieve given objectives
32. Experience of delivering quality standards or services
33. Enterprising, innovative, can-do attitude with ability to work on own initiative and as part of a team(s)
34. Excellent facilitation and communication skills, written and oral
35. Direct experience of working with a volunteer-involving organisation and/or as a volunteer
36. Experience of building, managing and nurturing partnerships and relationships
37. Ability to manage self, manage multiple projects, and adjust and adapt to a dynamic work environment
38. Excellent IT skills
39. Excellent interpersonal and motivational skills
40. Self-motivated, enthusiastic and driven
41. Familiarity with the issues relating to volunteering in Ireland
42. Knowledge and understanding of the barriers to participation in volunteering and social inclusion issues
43. Flexibility, commitment and an open mind

44. Visionary leadership capacity
45. Understanding of how to measure outputs, outcomes and impact
46. Experience of managing teams in a non-profit environment
47. Qualification in management and/or HR-related fields
48. Training experience or qualification
