Junior Wedding & Events Administrator
This role is based on a minimum 3-Day working week.
About the Role
The Newpark Hotel, part of the Flynn Hotel Collection, is renowned for its exceptional guest experiences, elegant weddings, and memorable events. We are now seeking a Junior Wedding & Events Administrator to join our dedicated Weddings & Events team. This role is ideal for someone with a passion for hospitality, excellent organisational skills, and a keen eye for detail.
Key Responsibilities
* Follow up on incoming enquiries, chasing and converting them in line with SOP
* Respond promptly and professionally to events enquiries via email and telephone
* Ensure all bookings (provisional & confirmed) are accurately inputted into the Hotsoft system, including linked room reservations
* Ensure all contracts are received and filed correctly in line with SOP
* Attend client meetings if required
* Process booking changes, ensuring relevant departments are informed in a timely manner
* Represent The Newpark Hotel in a professional and welcoming manner during client meetings, show-arounds, and telephone interactions
* Manage deposits and ensure all deposits are paid in accordance with T&Cs
* Assist our Events Sales Manager with site visits and familiarisation trips for prospective clients
* Participate in team meetings
* Prepare weekly wedding and wedding tasting menus, rooming lists, and top table name cards
* Conduct wedding show-arounds and cover follow-up calls for wedding dates as required
* Support in converting provisional bookings into confirmed events
The Ideal Candidate
* Strong organisational and administrative skills with attention to detail.
* Excellent communication skills, both verbal and written.
* Confident in working with booking systems (experience with Hotsoft is an advantage).
* Previous experience in a hotel, hospitality, or events role is desirable but not essential.
* A passion for weddings and events with a customer-focused mindset.
* Ability to work well under pressure and as part of a team.
* Flexible and willing to work to the needs of the business.
