The Position
We are currently seeking a highly capable and professional Senior Personal Assistant to provide comprehensive executive support to the Head of Consulting and another Consulting partner. This is currently a temporary opportunity within a dynamic and fast-paced professional services environment but with potential to progress to a full time role
The successful candidate will be proactive, highly organised, and discreet, with a proven ability to manage competing priorities and maintain high standards under pressure. This role requires a confident communicator who can build strong relationships across all levels of the firm and with external stakeholders.
Key Responsibilities
* Project management of small divisional projects
* Coordinate and attend internal divisional partner meetings, acting as secretary to the meeting including the proactive development and circulation of agendas, and tracking of action items.
* Act as a key liaison between the Partner and internal/external stakeholders, including Group countries, the Irish Executive, other partners and clients - managing relationships with discretion and professionalism.
* Some limited diary and calendar management, including scheduling meetings, events, and travel arrangements.
* Some limited screening and management of incoming communications, including calls, emails, and correspondence.
* Prepare high-quality documents including reports, presentations, proposals, and meeting minutes
* Support the preparation and submission of client proposals and tender documents, particularly for public sector clients via the eTenders platform.
* Manage departmental subscriptions, renewals, and compliance-related documentation.
* Supporting some of the senior heads of division reporting to the Head of Consulting where time permits
* Coordinating and preparing requests for information for the Head of Consulting which required liaison with other partners
* Assist with client onboarding and anti-money laundering (AML) procedures.
* Liaise with internal departments such as Finance, Marketing, IT, and Facilities for budgeting and other operating matters
* Support monthly invoicing and financial reporting
* Prepare group reports and returns on behalf of the Head of Consulting
* Organise and contribute to quarterly finance reviews and debtors’ meetings.
* Coordinate the production and distribution of the quarterly Consulting Newsletter.
* Provide support around key project and client deadlines.
* Undertake ad hoc administrative and project-based tasks as required.
Ideal Candidate
* Minimum of 5 years’ experience in a similar senior PA or EA role, ideally within a professional services or consultancy environment.
* Capacity to work on own initiative
* A proactive and practical approach to work management is key
* Exceptional organisational and time management skills, with the ability to prioritise and multitask effectively.
* Strong interpersonal and communication skills, both written and verbal.
* High level of discretion and confidentiality in handling sensitive information.
* Strong attention to detail and commitment to accuracy.
* Proactive, solutions-focused mindset with a “can-do” attitude.
* Advanced proficiency in Microsoft Office Suite, particularly Excel, PowerPoint, Word, and Outlook.
* Comfortable with numbers and simple financial tasks necessary
* Experience with eTenders, AML processes, and client onboarding an advantage.
* Comfortable working in a hybrid environment and adapting to changing priorities.
