The Personal Assistant will be required to provide proactive support to the Director and Deputy Director of Finance. Providing support in the day-to-day running of this large organisation including the provision of full secretarial, administration, project coordination and support services. The personal Assistant will also communicate with others both internally and externally whilst managing busy diaries and schedules. You will be supported and be part of a wider PA team who work closely as a team on key Group projects and initiatives, collaborate together and across different business functions.What We're Looking For:3-5 Years in a Senior PA or Executive Assistant roleProven work experience as a personal assistant at senior levelStrong experience in all Microsoft Office packages including Office 365, Word, Excel (experience of using Excel as a reporting tool) PowerPoint presentations and knowledgeable in the use of a wide range of software and office/communications solutionsExperience in preparing and report writing to Board LevelExperience in being assertive, with a high level of integrity and the ability to maintain the confidentiality of highly sensitive material with tact and professionalismExperience in making informed independent decisions displaying an intuitive understanding of when to seek insightExperience in assisting in mapping out and planning projects in consultation with senior managementExperience in assisting moving projects forward against agreed organisational goalsAt Rehab Group, we understand that there are many paths of learning to your chosen career. You might be exactly who we are looking for.Your Responsibilities:Act as primary point of contact for the Director and support the work of the Senior Leadership Team. Develop and maintain a professional and dynamic overall executive support function for the Director acting as an internal liaison between the Director and senior management team/company employees/clients and manage information flow.Liaise with a wide range of internal and external contacts, key contacts at various funders, customers and stakeholders; Conduct research e.g. relating to both academic and industry, collate information, prepare statistical reports, co-ordinate and update projects, strategic documents / action plans etc. on an on-going basis.Assist and support the Director in developing and coordinating new policy and programme documentation.Manage all communications on behalf of the Director with various external organisations, internal team members and colleagues.Assist the Director with preparation for a range of representational engagements; Format information for internal and external communication – memos, emails, presentations, reports.Drive key projects and activities on behalf of the Director; ensuring planning and mapping of projects scoped out and updated within agreed timelines.Manage all secretarial and administrative responsibilities on behalf of the Director; manage diaries and arrange their daily schedule (set up meetings, travel, speaking engagements etc.).
