Role Summary
We are seeking an organised and experienced Dental Clinic Manager to work in the newly developed Sandyford Dental Education ahead of the opening of this new clinical facility in spring 2026. The clinical facility will provide community‑based dental healthcare to patients in an educational setting where our dental students gain experiential hand‑on opportunities to practice primary care‑based clinical dentistry under the supervision of qualified senior dentists. The Clinic Manager is a key member of the management team of the School of Dentistry, responsible for the organisation and day‑to‑day effective and efficient operation of the clinical practice, delegating tasks when appropriate to ensure the smooth functioning of the practice.
Key Duties of the Role Include
* Support Opening of the Clinic:
o Providing administrative leadership and support to the wider programme implementation team, in the period of time leading up to the opening of the clinic at the DEC in Sandyford.
o Working with the Clinical Director (and/or their representatives) and the programme implementation team, be responsible for establishing and maintaining a robust and appropriate Clinical Governance and compliance structure, proactively adapting and leading process changes as necessary.
o To play an active role in the establishment and development of further Dental Education Centres (DEC) as per the development plans of the School of Dentistry.
o Be a key stakeholder in proactively working closely with the IT department and other colleagues in the implementation and maintenance of a new patient management software.
Student, Patient and Customer‑Focused Operational Management
* Maintaining and developing a patient- and student-centred positive culture in the clinic, committed to and ensuring the highest standards of patient safety.
* Development and implementation of policies and structures to promote best‑in‑class patient, student and clinical services in agreement with School leadership.
* Ensuring compliance with all applicable Health & Safety requirements.
* Providing support to identify, screen, recruit and maintain where appropriate, cohort(s) of patients for attending the clinic(s) for dental treatment and other oral healthcare measures, building strong relationships to encourage active and meaningful participation.
* Implementing policies that enhance patient satisfaction.
* Be an escalation point when dealing with any student and client queries, fostering a team ethos of professionalism, courtesy and competency.
* Be an escalation point for the reporting of any untoward incidents (e.g., clinical incidents/complaints) as appropriate – working to seek solutions and resolve conflict, promoting high levels of patient satisfaction.
* Collaborate with colleagues and participate as needed with respect to induction courses for students in relation to their attendance at the DECs.
* Working closely with the university operations team(s) to manage the flow of students attending the clinic for training, including organising the appropriate appointment systems and with the organisation of clinical examinations.
* Oversee operational implementation and management of processes relating to the tracking and management of the student and patient records.
* Manage the clinic budget for all activities; managing income generation, including income from patient fees and service agreements with the Health Service Executive (HSE) or other agencies.
* Oversee the tracking of key performance indicators (KPIs), including patient surveys, identifying opportunities for improvement based on outputs.
* Oversee efforts and collaborate as needed with colleagues to promote the online/digital presence of the practice, developing marketing and promotional materials for the dental clinics where appropriate.
People Management
* Provide administrative leadership to clinical and administrative colleagues at the practice under the Clinical Director, and in support of the School of Dentistry academic and clinical team, under the Head of School.
* Ensuring fair management principles, minimising the impact of natural peaks and troughs in the workload of teams and individuals through effective forward planning, cross training, process improvements and other initiatives as appropriate.
* Provide an environment for the team that promotes positive communication, focuses on students, encourages bonding of team members, and demonstrates flexibility.
Managing Key Relationships
* Establishing and maintaining good working relationships with all relevant bodies, including the HSE, Dental Council in Ireland, Department of Health and Children and other statutory bodies.
* As required, participating in coordinating and collating responses on behalf of the school to regulatory and/or internal and external governing bodies.
Supporting School Operations
* In parallel to supporting the clinic, be available to provide leadership input and guidance as may be required to support the School of Dentistry Operations and Academic teams in teaching of students.
Other
* Carrying out such other duties appropriate to the post as may be assigned.

* As the school operations expand and grow in the coming years, this will require the successful candidate to flexibly support the wider team as needed within a dynamic environment.
* Represent the best interests of RCSI/ School of Dentistry at all times, leading by example for junior members of the team.
Qualifications / Skills / Attributes
* Previous experience in a leadership role in a clinical setting, preferably in a dental or medical setting.
* Proven ability through extensive administrative, planning and management experience of an appropriate nature.
* Experience of managing a team and dealing with a variety of complex people-related issues.
* Experience of developing people and teams.
* Experience of managing change projects.
* Excellent interpersonal skills combined with an ability to deal effectively, efficiently and appropriately with staff, senior managers, public and external organisations.
* Excellent organisational skills and experience of working to deadlines whilst coping with competing priorities.
* Ability to deal flexibly with a range of different demands about a wide variety of subjects and prioritise a varied workload.
