KEY PURPOSE:

The Back Of House Department Manager is accountable for delivering the daily operations of the stockroom and ensuring optimal efficiencies are met, including receiving and distributing goods on time, investigating and resolving discrepancies, acting as liaison for store maintenance, and ensuring exceptional standards in the stockroom and back-of-house spaces.

RESPONSIBILITIES AND DUTIES

Goods In

* Respond to all delivery requests (local, national, international) and liaise with Own Buy and Concession departments for stock booking in and out.
* Coordinate with delivery contractors to meet company standards for efficient and professional deliveries.
* Ensure daily delivery of local and international post.
* Handle all customer transactions and deliveries with utmost confidentiality.
* Maintain knowledge of computer systems related to delivery details, post, and maintenance.
* Follow procedures for Goods In operations, documentation, special orders, and customer correspondence.
* Manage the stockroom support team to deliver goods promptly.
* Ensure all deliveries are cleared into stockrooms before 11am.
* Manage timely replenishment of beauty products delivered to counters.
* Complete stationary requisitions within store budget.
* Follow procedures for store transfers with tracking details.
* Develop space planograms for Goods In to maintain standards and safety.
* Be aware of promotional activities, window displays, advertising, and store events to support back-of-house requirements.
* Dispose of stockroom rubbish responsibly, following sustainability practices.
* Maintain records of merchandise returned to suppliers and handle related queries.

General Stockroom

* Oversee daily stockroom operations, focusing on efficiency improvements.
* Lead the team with clear expectations, standards, and regular feedback.
* Check, price, and prepare goods for distribution; report discrepancies.
* Handle merchandise with care and maintain an orderly, safe, and customer-friendly stockroom layout.
* Ensure timely delivery of goods and post.
* Manage stock transfers and RTVs from departments.
* Plan space management and adapt for peak trading times.
* Store products according to Brown Thomas standards.

Maintenance

* Support store opening and closing functions, assist with late-night maintenance.
* Coordinate with maintenance contractors and report work progress.
* Maintain logs of issues and timelines.
* Ensure maintenance tasks meet property guidelines and store audit standards.

Customer Service

* Deliver high-level customer service aligned with Brown Thomas standards.
* Maintain a friendly, courteous approach both internally and externally.
* Know store layout, facilities, merchandise labels, and department moves.

Systems

* Follow procedures for stockroom operations, documentation, and customer correspondence.
* Assist with stocktaking preparations.
* Coordinate with the stock administration team.

Security

* Adhere to security procedures and handle discrepancies.
* Protect company assets and fixtures; be security conscious.
* Deploy flood barriers when necessary.

Health & Safety

* Understand and follow the Health and Safety Statement.
* Review and update risk assessments regularly.
* Report hazards or unsafe behaviors.
* Operate equipment safely and maintain it in proper condition.
* Wear protective clothing and footwear at all times in the stockroom.

General

* Assist with other duties as required by the Store Manager.
* Support Visual Merchandising and management with fixture moves and floor layouts.
* Build and maintain good working relationships with colleagues.
* Perform any other stockroom duties as needed.
* Observe all company policies and procedures.
* Attend weekly management meetings for department planning.
