Executive Assistant to support our client's senior leadership team in a fast-paced, global technology environment. The ideal candidate will be highly organized, proactive, and resourceful, adept at managing complex schedules, coordinating cross-functional projects, and ensuring operational excellence at the executive level.
Responsibilities
* Executive Support: Manage calendars, schedule meetings across time zones, and coordinate high-level appointments and travel arrangements.
* Communication Management: Act as a trusted liaison between executives, internal teams, and external stakeholders; draft and review correspondence with professionalism and accuracy.
* Operational Efficiency: Prepare presentations, reports, and briefings; manage documentation and ensure timely follow-up on key actions and decisions.
* Meeting Coordination: Organize board meetings, leadership offsites, and global team events, including logistics, agendas, and minutes.
* Project Assistance: Support special initiatives, research, and strategic projects as directed by the executive team.
* Confidentiality & Discretion: Handle sensitive information with the highest degree of integrity and professionalism.
* Process Improvement: Identify opportunities to streamline administrative workflows and improve efficiency across the executive office.
Qualifications & Experience
* 5+ years of experience supporting senior executives, preferably within a global or technology-driven organization.
* Proven ability to manage competing priorities and deadlines with exceptional attention to detail.
* Strong interpersonal and communication skills; able to collaborate effectively across cultures and time zones.
* High level of proficiency in productivity tools (Microsoft 365, Google Workspace, Slack, Zoom, etc.) and comfort with new technologies.
* Experience coordinating international travel and managing expense systems (e.g., Concur, SAP, or similar).
* Discretion, professionalism, and a proactive, solution-oriented mindset.
