Access to Care Administrator (Reception/Admissions)

Location: Aut Even Hospital
Job type: Permanent

Overview of role:

The Access to Care Team provides end-to-end administrative support to the hospital and its functions. They manage all queries, telephone calls, and correspondence (paper and electronic) for areas including, but not limited to, Front of House, Admissions, Outpatient clinics, and Medical Records.

Primary Duties and Responsibilities:

Key Responsibilities:

* Ensure the efficient processing of all Access to Care functions throughout the hospital.
* Project a professional image in all interactions with patients, staff, and visitors.

Reception:

* Deliver a patient-centered, excellent experience to all patients and stakeholders.
* Manage contractor, visitor, and patient pathways daily, adhering to policies and procedures.
* Track and distribute registration processes for internal stakeholders.
* Coordinate parking inquiries with the facility and management team.
* Handle hospital call volumes efficiently and professionally.
* Manage voicemails, deliver messages, and follow up with callers.
* Oversee Healthlink, respond to referrals, and ensure proper distribution.
* Manage outpatient clinic diary schedules, liaising with consultants for room allocations.

Admissions:

* Oversee smooth daily admissions at the admissions desk.
* Collaborate with clinical teams and management to ensure efficient operations.
* Verify patient details in accordance with safety standards.
* Complete insurance and revenue collections daily.
* Handle cancellations, DNAs, and related communications.
* Prepare and distribute reports as required.
* Manage end-of-day cash reporting.
* Coordinate with theatre scheduling and medical records teams.

Personnel:

* Follow uniform policy.

General:

* Be flexible to work in other hospital areas as needed.
* Provide evidence of training and experience upon request.
* Respect hospital values.

Quality & Safety – SafeCulture:

* Participate actively in quality and safety initiatives.
* Work with managers to monitor and improve quality programs.
* Contribute to performance indicators and audit processes.

Health & Safety:

* Ensure personal and others' safety and health.
* Report hazards and participate in safety training annually.

Information Governance & Confidentiality:

* Maintain confidentiality of patient and staff information.
* Handle records securely and in accordance with policies.

Qualifications & Experience:

* No formal qualifications required.
* Relevant work experience preferred.
* Excellent customer care and interpersonal skills.
* Proficiency in Microsoft Office; experience with hospital systems advantageous.
