 
        
        We currently have an opportunity for an Administrative Assistant to join the Elf Town team for 40 hours per week on a 3-month contract.
Previous experience in an Administration or Organisational role is essential. The job will report to the Event Manager and will support a multi-site team in both Galway and Dublin. This role will be office-based and located at Galway Racecourse.
Day-to-day tasks will be varied and include but aren't limited to:
 * Administrative Support: Perform general office tasks such as document management, email, and phone communications.
 * Recruitment and Selection Assistance: Help with the recruitment process, including candidate communications, scheduling interviews, and onboarding documentation.
 * Payroll Coordination: Prepare and submit payroll information weekly, ensuring accuracy and compliance with deadlines.
 * Contract Management: Draft and prepare contractual materials for new hires and staff changes.
 * Staff Scheduling: Develop and manage rosters for event-based staff, ensuring adequate coverage across multiple sites.
 * Staff Management: Handle last-minute staff cancellations, scheduling adjustments, and time change notifications.
 * Data Entry & Reporting: Maintain accurate records and prepare reports as needed for payroll, scheduling, and other administrative tasks.
 * Event Support: Provide logistical support for event planning, including coordinating part-time and casual staff for events in Galway and Dublin.
Application Requirements
 * Applicants should have relevant qualifications with at least 12 months experience in an administrative or organisational role.
 * Proficiency in the use of Microsoft Office and Microsoft Excel and the ability to communicate effectively
 * Accuracy and attention to detail are essential due to the nature of the contract/payroll information being processed.
 * The post holder must be organised and capable of multi-tasking accurately to deliver good quality work promptly.
 * Reliable attendance and good timekeeping are important coupled with the flexibility to adapt working hours (with notice) if required.
