Job Summary
The Site Administrator will provide administrative support to the project team, ensuring all documentation, reporting, and coordination tasks are completed accurately and on time.
The role involves managing permit and training systems, liaising with project teams, maintaining safety records, coordinating deliveries, and supporting purchasing and timesheet processes.
The position reports directly to the Project Manager.
This is a one-year fixed-term contract, offered on a part-time basis ****** hours per week) with flexible working hours.
The role is based at Raheen Business Park, Ballycummin, Limerick.
Key Activities
Upload and manage permits through relevant online permit systems
Maintain training records on designated training portals
Coordinate and book classroom inductions, including submitting required documentation in advance
Submit out of hours notifications as required
Compile and issue weekly safety reports using standard templates
Book scheduled deliveries through the appropriate control systems and process delivery dockets
Maintain accurate filing systems for permits, SPA's, plant checks, inductions, and other safety documentation
Ensure sufficient blank check sheets and SPA's are available on site at all times
Process timesheets for labour agencies and prepare daywork sheets for weekly submission to the client
Order materials through the purchasing process and track purchase orders
Request and maintain up-to-date as-built information on a weekly basis
Provide general office administration and support to the site management team as required
Education and Experience
Proven experience in an administrative role, ideally within a construction or engineering environment
Strong organisational skills with the ability to manage multiple tasks and deadlines
Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
Experience using online portals and systems for permits, training, or deliveries (advantageous)
High attention to detail with strong record-keeping and reporting skills
Excellent communication and interpersonal skills for liaising with clients, contractors, and internal teams
