Overview Of Role
UPMC are hiring a Supplies Officer to join our Whitfield Hospital team on a 24 month fixed term contract. UPMC Whitfield has the above opportunity within its busy Materials Warehouse department. The following are the main duties and responsibilities and (but not limited to) for this role.

Primary Duties And Responsibilities
Order and Product Management:

* Take responsibility for placing all Purchase Orders.
* Track all orders and ensure timely deliveries.
* Liaise with suppliers regarding backorders and maintain data on the availability of products in short supply.
* Receive incoming goods into SAP, confirming quantities are correct and quality meets expectations (including for POs placed by other Purchasing Officers).
* Handle returns by completing all required documentation and communication.
* Coordinate product recalls with the BioMed Department, Procurement Manager, and Warehouse Manager.

Working With Other Departments (Clinical And Non‑Clinical)

* Establish professional relationships with all staff, as well as vendors and suppliers.
* Act as the main point of contact for clinical staff on-site, gathering their requirements and supporting the New Product Request process.
* Provide support for AP (Accounts Payable) queries.
* Support IT and Facilities in the purchasing process as required.

Procurement And Inventory Management

* Optimise SAP for inventory control, MRP, and reporting.
* Maintain Min/Max levels to support MRP across all warehouses and stores.
* Update the Global Item Master in SAP and ensure all data (e.g., vendors, prices, quantities, lead times) is continuously clean and accurate.
* Maintain well‑organised and up‑to‑date records of stock and inventory.

Warehouse & Stores Management

* Supervise the Materials Assistants on-site.
* Coordinate with warehouse staff to ensure proper storage of items, including barcoding and bin‑location management.
* Liaise with Purchasing Officers at other sites regarding intercompany transactions and related logistics.
* Maintain the warehouse and stores to the highest standard of cleanliness.

SOPs And Training Documentation

* Actively participate in maintaining SOPs to accurately reflect day‑to‑day processes, and support the development of departmental training materials.
* Support the procurement department in standardising policies and procedures to reduce the time clinical staff spend on requisitions and following up on orders.
* Comply with all certification requirements, including JCI and internal UPMC standards.

Qualifications & Experience

* Related experience in a warehouse environment would be a distinct advantage
* Must have strong communication skills, both verbal and written.
* Good organizational skills, able to prioritize and manage competing priorities, detail oriented and quality focused
* Ability to complete paperwork accurately following good documentation practices.
* Ability to perform basic math calculations including adding, subtracting, counting, and measuring.
* Critical thinking and problem-solving skills required.
* Must be able to work with minimum supervision by following detailed instructions.
* Work in a team environment, including exchanging information related to performing required tasks with colleagues and with internal customers, as well as with vendors and carriers.
* Ability to organise the logistics of multiple sites (if required)
* Good I.T skills required, (Excel, Outlook, and Word); good working knowledge of warehouse inventory systems (SAP would be a distinct advantage)
* Strict attention to detail and accuracy.
* Experience of working within a Hospital warehouse department is desirable
* Full Clean driving license is an essential requirement for this role
