Job Description
Job Title: Receptionist
Company: EHS International
Reports to: Training Co-ordinator
The Receptionist greets, welcomes, and directs visitors. They coordinate front-desk activities and perform administrative tasks assigned by the Training Coordinator.
Responsibilities:
1. Serve as the first point of contact for clients, trainers, and visitors.
2. Answer calls, queries, and direct to relevant personnel.
3. Update the call log with all received and made calls.
4. Ensure training rooms are equipped for each session.
5. Prepare paperwork for upcoming training sessions.
6. Contact trainers before sessions to confirm requirements and follow up.
7. Contact attendees prior to courses to confirm attendance and provide details.
8. Scan and send paperwork to the Training Coordinator after courses.
9. Manage catering needs for attendees and trainers.
10. Process monthly stationery orders.
11. Issue weekly reports to the manager.
12. Book meeting and training rooms via Outlook Calendar.
13. Issue temporary invoices to Accounts.
14. Issue Safe Pass Cards, PHECC Certificates, etc., after processing.
15. Perform other general office duties as needed.
Experience: Administrative experience required.

Skills & Qualifications:
* Excellent verbal and written communication skills.
* Experience with MS Office applications.
* Strong administrative and organizational skills.
* Knowledge of relevant quality standards (e.g., ISO9001).
* Ability to work collaboratively across teams.
* Flexibility regarding working hours to support training schedules.
* Previous experience in a busy office environment.
* Ability to work under pressure and manage time effectively.
* Friendly, empathetic, and effective communicator with clients and colleagues at all levels.
