We are seeking a proactive and highly organised Administrative Assistant / Secretary to support a busy engineering construction office. The successful candidate will work closely with the Project Manager and wider project teams, providing administrative and document control support to ensure smooth and efficient operations. This role requires a strong understanding of office management systems, document control processes, and continuous improvement practices such as LEAN implementation.Key Responsibilities:Provide comprehensive administrative support to the Project Manager and project teams.Manage and maintain project documentation, ensuring all records are up to date and properly controlled in accordance with company and client standards.Prepare and format correspondence, reports, and presentations using Microsoft Office Suite.Assist in project scheduling, meeting coordination, minute-taking, and task follow-up.Support financial administration, including data entry, invoicing, and purchase orders using SAGE.Monitor and manage office supplies, site documentation, and filing systems (electronic and hard copy).Assist with the creation, maintenance, and improvement of Standard Operating Procedures (SOPs).Contribute to LEAN improvement initiatives to enhance efficiency and eliminate waste in administrative processes.Coordinate travel, accommodation, and logistics for project personnel as required.Provide general office management support, ensuring smooth day-to-day operations in a fast-paced environment.Key Skills and Competencies:Proficient in SAGE and Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams).Strong experience with document control systems and version management.Excellent organisational and multitasking abilities, with attention to detail.Strong written and verbal communication skills.Ability to work independently and collaboratively within a project-driven environment.Experience in LEAN process improvement and continuous improvement methodologies.Knowledge of SOP development and implementation.Discretion, reliability, and professionalism when handling confidential information.Qualifications and Experience:Previous experience in a similar administrative or secretarial role within an engineering, construction, or industrial environment.Familiarity with project management and engineering documentation processes.Formal qualification in business administration or a related discipline (desirable).Job Types: Part-time, PermanentSalary: TBCLocation: Dublin Port Office and Baldoyle OfficeSchedule:Monday to FridayJob Types: Part-time, PermanentPay: From €23.00 per hourBenefits:On-site parkingAbility to commute/relocate:Dublin 1, CO.
