About Team and Role This is an excellent opportunity for an ambitious individual to join an evolving and expanding team in a fast-paced, dynamic organisation. The successful candidate will work within the Operations and Examinations function of RCSI, providing assessment focused support to undergraduate programmes. As a Team Lead, your principal focus will be to maintain and enhance the planning, implementation, delivery, and results management for examinations spanning the School of Medicine, School of Pharmacy and Biomedical Sciences and School of Physiotherapy. The post would suit an enthusiastic and self-motivated administrator who is experienced in assessment administration and is seeking to further their career. The ability to work independently, managing a busy workload with competing priorities to tight deadlines is essential, as is attention to detail and accuracy. They must have a highly professional approach to work with a willingness to work as part of a team that offers support to colleagues across the institution and possess excellent organisational and communication skills. To provide effective, efficient, and professional services it is expected that the successful candidate be flexible in terms of hours of work and will maintain confidentiality, diplomacy, and tact regarding internal and external relations. Job Responsibilities These are shared amongst two team leads and an Examinations and Assessment Manager. This role will be expected to provide cover, as appropriate, across the full span of undergraduate assessment activities. A key part of this role involves academic stakeholder management in conjunction with the Exams and Assessment Leadership Team. Examinations 3-5 Direct Reports. Management of all assessment formats sitting within assigned programmes. Scheduling assessments to maximize use of applicable RCSI spaces. To undertake assessment deployment ensuring that assessment material conforms to the regulations, has been approved by the academic team, and that all amendments have been checked and recorded. To undertake all other assessment preparation arrangements including the distribution of examination timetables to students and the setting up of examination venues for both written, OSCE (Objective Structured Clinical Exam) and DOH (Direct Observed History) exams, including the creation and communication of schedules and room layouts. To ensure all on the day queries are professionally and appropriately managed. To ensure all post exam day checks are completed so marking can commence. To manage and oversee the result generation and management process, including standard setting and moderation (where applicable) Management of Reasonable Accommodations in conjunction with Learning Support Services. To monitor student progress during live exam sessions and provide timely support and reassurance to students experiencing technical difficulties in a high-pressure situation. To contribute to invigilator training and management. Build close working relations with the Operations Team across Medicine, Pharmacy and Physio to ensure seamless delivery of assessments for each of the schools. Examination/Progression Boards To oversee examination/progression board arrangements, attend all examination meetings and ensure programme teams have produced the necessary documentation for consideration. To set up Examination Board report templates using Excel for each Programme at the beginning of each year, ensuring that formulas are working correctly, that modules are correctly weighted, and the spreadsheets are protected to prevent changes to format and design. To oversee the collection of all marks for examinations and continuous assessment and to ensure that deadlines are met, and final results are ready for Examination Board Meetings. To oversee the calculation and selection of academic awards, ensuring ratification at year or award boards and inclusion on academic transcripts. To advise on regulations pertaining to grade bands and degree classifications for undergraduate awards. To check marks provided for accuracy. To manage the upload of final results to Kaizen/Quercus and publication via the student gateway where applicable. To minute all Examination/Progression Board meetings and maintain accurate records of mitigating circumstances decisions. To manage the reporting to Sponsors on a by semester or annual basis, including acting as an escalation point for queries. Managing Failed Students, including discontinuations. Transcript Generation and Sponsor Letter Generation. Quality Improvement Contributing to the annual review of SOPs (standard operating procedures) and supporting documentation. To feed into the annual review and compilation of programme Marks and Standards. To audit examination procedures and processes on a regular basis in tandem with the Examinations and Assessment Manager. To deal with enquiries from Academic Staff, External Examiners and Registry staff in respect of assessment outcomes. To ensure all samples and External Exam board information is collated in a clear and timely manner. To support the compilation of annual statistical reporting on assessment and progression. To maintain accurate records and archives in relation to student assessment. To contribute to the assessment related precedent management database. Training and Development To provide comprehensive ongoing training on use of assessment platform to students, academics and professional services staff on an annual basis. To manage team training requirements via the annual PDP process. To maintain all database and online systems as appropriate. Knowledge & Experience - (Essential): At least 2 years of People Management experience. Excellent IT skills including proficiency with Microsoft Office, including Excel. Project Management Experience. Excellent relationship building and interpersonal skills to maximise individual and team effectiveness. Strong communication and presentation skills. Excellent organisational skills with a high level of accuracy and attention to detail. High degree of independence, flexibility, initiative, and commitment. Proven record of accomplishment of managing tasks and time. Adapt positively to change and respond effectively to changing needs and circumstances. Proven record of accomplishment of solving every-day academic and student issues by quickly identifying possible corrective measures and recommending or selecting the best solution. Flexibility to work irregular hours on occasion. Desirable Skills Experience and a proven record of accomplishment in a similar role. Prior experience of leading a team. Project Management/Process Improvement qualification is an advantage (Lean Six Sigma etc.). A background in working with data/databases is advantage.
