Key Responsibilities of Administrative Support Role
The front desk representative is the welcoming face of the business. The scope of this role extends from meeting & greeting customers in the showroom to receiving telephone greetings.
This includes outbound customer contact calls to obtain feedback on customers' experiences.
The administrative support aspect incorporates Sales administration, Accounts administration and General administrative support to the business.
Responsibilities include:
* Handling inbound phone calls that remain unanswered, taking, forwarding and logging messages.
* Meet & greet showroom customers, determine their needs and introduce them to the appropriate area of the business.
* Carry out customer follow-up calls, record customer feedback and communicate to relevant areas of the business.
* E nsure the customer reception and waiting areas are stocked and tidy.
* Carry out Sales administration duties as required.
* Register & verify Creditor Invoices.
* Assist in Creditor reconciliations.
* Assist in the Debtor process, prepare Debtor Invoices, Statements and complete follow up on accounts.
* Carry out additional Accounts administration duties as required.
* Maintain filing and retention of company records.
* Communicate with debtors and creditors as required.
Requirements:
* Experience in a receptionist, front desk, or administrative role.
* Excellent verbal and written communication skills.
* Professional appearance and pleasant demeanor.
* Strong organisational and multitasking abilities.
* Good attention to detail.
* Proficiency in MS Office (Word, Excel, Outlook).
* Ability to handle sensitive information with discretion.
