Job Summary
To provide operational oversight and coordination of ICT systems and assets, ensuring that all systems support the organisation's functions effectively, securely, and in compliance with relevant standards.
Key Responsibilities
ICT Systems Oversight
· Act as the primary liaison with the ICT provider for day-to-day systems management
· Monitor system performance and escalate issues to the provider or line management
· Support integration and optimisation of systems to reduce duplication and improve efficiency
· Maintain documentation of systems architecture and access protocols
ICT Asset Management
· Ensure accurate asset registers are always maintained and up to date.
· Oversee provisioning and de-provisioning of ICT assets for staff
· Conduct periodic audits of ICT assets and report findings
Onboarding and Offboarding
· Ensure ICT setup for new staff is complete and compliant
· Induct new staff in the correct and proper use of all ICT assets
· Coordinate removal of access and retrieval of assets when staff leave
· Maintain onboarding/offboarding checklists and logs
Compliance and Reporting
· Support the Quality & Best Practice Coordinator in ensuring systems meet GDPR and other compliance standards
· Assist in preparing reports on ICT usage, incidents, and compliance
· Monitor all systems for incident reporting and resolution
Training and Support
· Provide basic ICT training and support to staff as needed
· Promote awareness of data protection and ICT policies
General
· Work to Galway Simon Community values and ethos.
· Attend training as required.
· Adhere to HR and Galway Simon Community policies and procedures
· Be vigilant in relation to Health Safety and Welfare Risks in the workplace and bring concerns to the attention of the Line manager or Health and Safety representative.

Requirements
· Strong organisational and coordination skills
· Strong attention to detail
· Proficiency in Microsoft Office Suite, particularly Excel.
· Excellent communication skills, both written and verbal.
· Ability to work independently and as part of a team.
· Familiarity with ICT systems and asset management
· Understanding of GDPR and data protection principles
· Ability to work collaboratively across teams and with external providers
· Experience in systems documentation and reporting
Ability to meet deadlines and prioritise tasks effectively.
