Log, track, and monitor maintenance requests, ensuring jobs are scheduled andcompleted within agreed timeframes. Manage client portals, uploading reports, certificates, and updates to maintaincompliance and transparency. Prepare and issue quotes, invoices, and supporting documentation where required. Coordinate with contractors and suppliers to arrange attendance, confirm schedules,and ensure timely delivery of services. Monitor job progress and follow up on outstanding works or documentation. Maintain accurate records, databases, and filing systems, both digital and paper-based. Produce and circulate reports for clients and management, highlighting job status,outstanding actions, and compliance requirements. Support the team with diary management, meeting coordination, and general officeadministration. Assist with health and safety compliance by tracking certificates, risk assessments,and contractor documentation. Build and maintain strong working relationships with clients to support accountmanagement and customer satisfaction. Identify opportunities to improve administrative processes and contribute to moreefficient workflows.Candidate Requirements Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and comfortable learningclient-specific software or portals. Strong problem-solving skills and ability to prioritise tasks under pressure. High level of accuracy and attention to detail when handling documentation andreports. Minimum 3–5 years' previous experience in a busy administrative role. Ability to work independently while contributing effectively to the wider team. Professional telephone manner and confidence dealing with contractors, suppliers,and clients. Experience coordinating or scheduling jobs, contractors, or service visits is desirable. Knowledge of compliance requirements (such as health and safety documentation,certificates, and service records) would be beneficial but not essential. Positive, proactive attitude with a willingness to take ownership of tasks.
