Leinster Appointments is currently recruiting for a permanent, full time Personal Assistant role in Co. Kildare.
Fully office based
Salary up to €60,000 depending on experience
* Serve as the Co-Founders and Co-CEOs right hand, managing their daily schedule, appointments, and correspondence with internal and external stakeholders.
* Prepare and edit documents, reports, presentations, and contracts as requested. In particular for board and executive meetings.
* Act as a gatekeeper, screening calls, emails, and meeting requests, and prioritizing tasks effectively. Act as a liaison with stakeholders, handle correspondence, and coordinate domestic and international business travel. Track expenses and assist with project management.
* Anticipate the Executives’ needs and proactively manage their workload.
* Arrange family and personal travel, including flights, accommodations, and detailed itineraries for domestic and international trips. Manage household logistics, personal errands, and event planning, ensuring confidentiality.
* Preparation of basic reports to be submitted to external accounting office on a monthly basis to support preparation of management accounts.
* Office and facilities management, in coordination with an existing on site team. Office manager role to an extent.
* EA support to management team, admin supportto the SLT where rarely required.
* Although there is no consistent frequency of office received calls, a general reception duty as we have a company number
* Management and administration of records and invoices including filing and preparing payments for approved invoices related to lifestyle and farm spend management. Updating and management of existing filing network and system.
* Coordinate and schedule board meetings, executive team meetings, and client presentations, preparing agendas and supporting materials as needed.
* Take accurate meeting minutes, track action items, and ensure timely follow-up.
* Arrange domestic and international travel for the Executives, including flights, accommodations, and itineraries.
* Manage logistics for property site visits, investor meetings, and conferences.
* Handle highly sensitive information with the utmost confidentiality and discretion.
* Build strong relationships with internal teams, external partners, and clients while representing the CEO and company professionally.
The Person
* 5+ years’ experience as an Executive Assistant, ideally supporting C-level executives or high net-worth individuals.
* Proven ability to manage legal documents in a professional setting.
* Experience in the real estate or development sector an advantage.
* Exceptional organisational and time management skills, with the ability to multitask and communicate effectively.
* Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
* Familiarity with presentation software (e.g. Canva) and project management tools is a plus.
* Excellent written and verbal communication skills.
* Strong problem-solving abilities and a proactive approach.
* Flexibility to work outside regular hours and travel as needed
