Description
onsemi is seeking a highly organized and proactive Office Administrator & Executive Assistant to support our R&D team in Cork, Ireland on a part time (3days per week), permanent basis. This hybrid role combines executive support with office administration and is ideal for someone who enjoys variety, takes initiative, and is comfortable using modern productivity tools including Microsoft Copilot. This position will report to the VP of R&D.
Responsibilities
Executive Support
* Manage Microsoft Outlook calendars for R&D leadership, including scheduling meetings, resolving conflicts, and coordinating with global teams.
* Prepare and update basic presentations in Microsoft PowerPoint.
* Perform simple data analysis in Microsoft Excel (formulas, charts, sorting/filtering).
* Use Microsoft Copilot or similar AI tools to streamline tasks such as document generation, summarization, and data interpretation.
Office Administration
* Maintain a well‑organized and fully stocked office environment, including supplies, equipment, and shared spaces.
* Act as the main on-site contact for contractors, cleaners, maintenance staff, and other service providers.
* Greet and support visitors, including coordinating logistics for interview candidates and external partners.
* Handle routine financial administration such as processing creditor payments and coordination with Finance.
* Responsible for scheduling team member events, luncheons, and meetings, onsite and virtually.
* Serve as the Cork R&D interface to HR for tasks including staff vacation/leave recording and compliance with HR policies.
General Administrative Duties
* Maintain shared files, trackers, and records for the R&D team.
* Books travel arrangements.
* Submits and reconciles expense reports.
* Assist with meeting preparation, agenda development, and follow‑up on action items.
* Support onboarding tasks for new hires (desk setup, building access, basic documentation).
* Contribute to creating a smooth, professional, and welcoming office environment.
Qualifications
* Bachelor's degree preferred.
* 3 years administrative experience supporting a team, preferably in an R&D environment.
* Previous experience in office administration, executive assistance, or a similar administrative role.
* Strong proficiency in Microsoft Office (Outlook, Excel, PowerPoint, Teams).
* Ability to perform simple Excel data analysis (pivot tables desirable but not required).
* Familiarity using Microsoft Copilot or equivalent AI productivity tools.
* Excellent organizational skills with the ability to prioritize across multiple stakeholders.
* Strong communication, interpersonal skills, and a professional demeanor.
* Ability to work independently, maintain confidentiality, and use sound judgment.
* Experience liaising with contractors or facilities teams is advantageous.
