Job Title: Administrative Support Specialist
Are you an organized and detail-oriented individual looking for a challenging role in administration? We are seeking an experienced Administrative Support Specialist to join our team. This is a permanent, full-time position with some hybrid working options.
Job Description:
We are looking for someone who can provide administrative support across the department, handling tasks such as dispatching and returning plant and vehicles, assigning vehicles and maintaining records for BIK, organizing vehicle maintenance including booking NCT, DOE and Tax, assisting in month-end procedures, managing maintenance documentation for vehicles, plant and safety equipment, processing orders and liaising with suppliers, performing general office duties like filing, stock taking, completing spreadsheets, issuing invoices to internal and external customers, organizing reporting and management of vehicle/plant maintenance and faults, covering reception duties during holidays and breaks, processing invoices ensuring correct matching to PO, reconciling creditor statements, booking flights and accommodation, processing credit card receipts and reconciliations of statements, lease reconciliations, data entry good received, delivery dockets and invoice entry, preparing reporting in Excel, and file maintenance.
Required Skills and Qualifications:
To be successful in this role, you will need to have a minimum of 2 years' experience in a similar role. Experience in purchasing departments, accounts payable, operations would be highly preferred. Excellent verbal and written communication skills are essential. Ability to work independently as well as within a team environment is necessary. Strong organizational skills, strong attention to detail and adherence to procedures for data entry and integrity are also required. High level sense of urgency with ability to prioritize work and escalate to management accordingly. Must be a highly motivated, professional and enthusiastic individual who is flexible and has a hands-on approach in a busy working environment. Strong Microsoft Office skills - particularly Excel.
