The Role My client, a leading non-profit organisation based in Dublin 3, is seeking a skilled and experienced Executive Assistant to join their team on a full-time, permanent basis. This is an office based position. As the Executive Assistant you will provide high-level administrative support, acting as the primary point of contact for both internal and external stakeholders on all matters relating to the CEO. Tasks & Duties Provide high-level executive support by managing a demanding calendar, coordinating complex travel arrangements, and overseeing inbox management - prioritising, flagging, and responding to time-sensitive communications. Act as a trusted gatekeeper and key point of contact for all internal and external correspondence on behalf of the CEO. Prepare, proofread, and format a wide range of documents, including reports, presentations, and correspondence. Process expenses, assist with budget planning, and conduct research and briefing preparation to ensure the CEO is well-informed and prepared for meetings and engagements. Serve as a key liaison between the CEO and multiple boards, including Boards of Directors, ensuring clear and consistent communication across all governance levels. Coordinate logistics for board meetings, including scheduling, venue or virtual setup, and catering arrangements. Prepare and distribute accurate board packs and briefing materials in line with accessibility requirements. Record and circulate minutes, track follow-up actions, maintain board documentation, and support governance compliance and effective record-keeping. Provide flexible administrative support to members of the Senior Leadership Team (SLT), including calendar management, meeting coordination, and preparation of documents and presentations as required. Assist in the planning and execution of SLT meetings, strategy days, and off-site events - supporting agenda development, materials preparation, and logistics. Contribute to cross-functional projects and internal communications to ensure alignment and smooth information flow across teams. Plan and manage internal and external events such as team away days, stakeholder meetings, and leadership sessions - overseeing all logistics including venue booking, supplier coordination, catering, guest lists, and detailed itineraries to ensure seamless execution. Maintain and enhance executive office systems and processes, handling confidential information with utmost discretion. Provide support on special projects and ad-hoc administrative tasks, contributing to the overall efficiency and effectiveness of the executive function. Experience, Know & Qualifications Minimum of three year's experience in an Executive Assistant or Personal Assistant role, providing high-level support to C-suite executives in fast-paced environments. Exceptional organisational and time-management skills, with a proven ability to prioritise competing demands, manage multiple tasks simultaneously, and work independently with sound judgement and initiative. Strong written and verbal communication skills, enabling effective engagement with a wide range of internal and external stakeholders. Demonstrates professionalism, discretion, and confidentiality in handling sensitive information. Proficient in Microsoft Office Suite and experienced in managing complex executive travel arrangements, calendar coordination, and document preparation. Knowledge of board governance processes and charity compliance is a distinct advantage. Holds a relevant degree or diploma, with additional experience in the non-profit or public sector considered highly desirable. Brings a track record of contributing to or delivering projects that support organisational goals.
