Overview
Application for the position of Theatre Administrator and Verifier – a temporary role (6–12 months) working full‑time (37 hours per week). The post holder will be responsible for the organisation and efficient running of the theatre office, as well as verifying theatre cases.
Responsibilities
Compile the theatre list each week according to the Theatre Schedule, Admissions and Same Day Surgery.
Liaise with Consultant Surgeons, Anaesthetists and Surgeons’ Secretaries regarding list information and requirements.
Update theatre lists with emergency cases and relevant information.
Assist Theatre Sisters in day‑to‑day running of the Theatre Department.
Attend and minute departmental and progress‑report meetings.
Inform Theatre Sisters, Theatre Staff & Consultant Surgeons of changes or information as they occur.
Cross‑cover the verifying role for annual leave.
Book accommodation for on‑call theatre staff and book radiographers for cases under the instruction of nursing staff.
Handle phone duties, noting all queries and liaising with relevant parties.
Perform administration duties including off‑duty letters, information bulletins, policies, consultant preferences and costings as requested.
Greet theatre visitors and direct them appropriately.
Organise lockers, fobs and relevant information for all new Consultants and Theatre Staff on arrival.
Ensure sufficient stock of stationery and theatre documentation booklets.
Confirm all theatre cases are correctly and completely documented and have been verified within the system in a timely manner.
Ensure all documents are electronically signed by the end of each day.
Perform daily charge reconciliation and maintain and apply coding for each case.
Maintain records relating to implantable items and maintain the Meditech database to ensure smooth running of theatre utilisation reports.
Maintain OR/MM Dictionaries, flagging any implants on the OR side for tracking.
Provide backup coverage for the Scheduler and the Stores/Theatre HC.
Participate in audits.
Provide first‑level system support as problems are reported by Theatre staff; act as liaison between IT and Theatre.
Perform any other duties as assigned by the Theatre Manager.
Qualifications
Business qualification – desirable.
Ideally at least 5 years of relevant administration experience in a healthcare setting.
Excellent numeracy, communication and organisational skills.
Computer skills including Excel, Word, PowerPoint and Publisher.
Understanding of general medical terminology.
Previous experience with Meditech patient information system – desirable.
