Booking Specialist – Frontline Team
The Booking Specialist provides frontline support for drivers and clients by handling inquiries, administrative tasks, and coordinating with suppliers and internal teams.
Responsibilities
Process and log telephone and OCM case enquiries.
Direct vehicles to Ayvens’ preferred supplier network for repairs.
Redirect enquiries received to the relevant teams as required.
Assist with and undertake additional duties as directed by the Line Manager.
Achieve team goals and individual targets as outlined.
Build proactive relationships with clients and drivers, maintaining a high standard of customer service.
Help increase customer survey ratings.
Recommend vehicles and arrange test drives.
Process quotations and orders for new vehicles.
Process driver‑related tasks such as fuel cards and tax discs.
Handle complaints.
Manage fluctuating workloads.
Perform general administration.
Participate in ad‑hoc projects.
Qualifications & Experience
Motor/Fleet industry experience desirable.
Pragmatic decision‑maker.
Excellent telephone communication with suppliers and customers.
High achievement drive with a proven ability to deliver results.
Team player, actively participating in shared objectives.
Flexible, willing to undertake a variety of tasks and to work additional hours when necessary.
Excellent written and verbal communication skills with a polite, friendly and diplomatic manner.
Strong attention to detail and high level of accuracy.
Computer literate with proficiency in Microsoft Word, Excel, PowerPoint and Outlook.
Good interpersonal skills and ability to build rapport with clients and drivers.
Initiative, ability to identify and implement efficiencies, and confidence to make decisions when required.
Good time‑management skills, managing fluctuating workloads and prioritising daily tasks.
Ability to see issues through to completion and work to deadlines.
Appropriate follow‑up on client deliverables.
Customer‑driven, able to build relationships with individuals at all levels of the business.
Professional approach in all dealings, demonstrating high standards and continually improving processes and procedures.
