Job Purpose
The Medical Secretary will provide high-quality administrative and clerical support to the Colorectal Surgery service. This role is central to ensuring efficient clinic operations, accurate scheduling of endoscopy and surgical procedures, and effective communication with patients, healthcare professionals, and external stakeholders. The post-holder will uphold the highest standards of confidentiality, professionalism, and patient care at all times.
Key Responsibilities
* Coordinate and manage the colorectal surgeon's outpatient clinic diary, including patient bookings, cancellations, and follow-ups.
* Organise and monitor scheduling of endoscopy and surgical procedures in line with service requirements.
* Act as first point of contact for patients and relatives, responding to telephone and email enquiries in a professional, timely, and empathetic manner.
* Produce accurate correspondence, reports, and clinical documentation, including audio typing of dictations and preparation for multidisciplinary team (MDT) meetings.
* Maintain and update patient records, both electronic and paper-based, ensuring data accuracy and compliance with confidentiality standards.
* Liaise effectively with GPs, hospital departments, and other healthcare providers to ensure continuity of care.
* Support the surgeon and wider team in managing workflow, prioritising tasks, and meeting deadlines.
* Undertake general office duties including filing, scanning, and mail handling as required.
Essential Criteria
* Previous experience as a medical secretary or in a similar administrative role within a healthcare setting.
* Proficiency in medical terminology, audio typing, and use of IT systems (e.g., MS Office, electronic health records).
* Strong organisational and time-management skills with the ability to prioritise competing demands.
* Excellent written and verbal communication skills.
* Demonstrated ability to handle sensitive and confidential information appropriately.
* Professional, reliable, and patient-focused approach.
Desirable Criteria
* Experience within surgical or gastroenterology specialties.
* Familiarity with hospital booking systems and endoscopy scheduling processes.
* Knowledge of MDT documentation and workflow.
