Clerical Supervisor (Grade IV) Bed Management Unit (BMU) Scheduled Patient Pathway.
Permanent Contract, Full Time Hours.
Principal Duties and Responsibilities: Ensure that the Medical, Surgical and Endoscopy Outsourcing Waiting List & Booking Systems in BMU are managed in an effectively and efficiently while maintaining high standards within the department.
Provide clerical supervision to staff and provide support to Clerical Grade V.
Action externally funded (National Treatment Purchase Fund (NTPF), South Southwest Hospital Group (SSWHG)) Scheduled Care Initiatives, in particular outsourcing patients to other hospitals, as per directives from the Scheduled Care Lead.
Issue Unique Authorisation Numbers (UANs) for HSE initiatives.
Contact patients for validation and outsourcing purposes.
Point of contact in the Mercy University Hospital (MUH) for the NTPF/ UAN/ SSWHG and various suitable hospitals in the for outsourcing purposes.
Run a bi-monthly reports on all outsourced patients and ensuring the schedule care lead is up to date.
Ensure all documentation and corresponding Card Access Numbers (CANs) are filled appropriately by keeping a soft copy where applicable or assign to patients healthcare record.
Working with numerous different IT platforms such as i PMS (In-Patient Management System), UAN, Excel and PAMS (Patient Access Management System).
Manage and support additional workload associated with Scheduled Care Initiatives.
Cover Annual leave and short absences within the department.
Collate and produce any necessary statistical reports as requested.
Manage telephone queries, both internal and external, in a professional and efficient manner, providing accurate data/information.
Participate in the training of staff.
Provide cross cover to the Clerical Grade V and other Clerical Grade IV Supervisors during times of leave (planned and unplanned).
Eligibility Criteria A minimum of three years administrative experience essential.
Previous Hospital Bed Management Unit experience desirable.
Hold a relevant Administration qualification and have achieved a high level of proficiency in same.
Possess excellent communication, interpersonal and organisation skills, and have the ability to work on their own initiative.
Be very patient focused with an approved record of managing sensitive and confidential information.
Be a highly motivated self-starter.
Have a comprehensive knowledge of administrative processes and IT skills (to encompass Database and Excel) to assist in the delivery of a coordinated approach to patient care.
Database administration experience.
Accuracy and attention to details in respect of data entry.
Effectively manage time and resources.
Be extremely flexible.
i PMS experience is essential.
