Role Purpose
The Junior Purchasing Assistant will support the buying team with day-to-day purchasing activities, supplier coordination, and stock management.
This is an entry-level role suited to someone with strong organisational skills, attention to detail, and a keen interest in the food or fresh produce supply chain, with clear development opportunities into a Buyer role.
Key Responsibilities
Purchasing & Supply Support
Assist Buyers with daily purchasing of fresh produce
Raise and amend purchase orders in line with demand forecast and sales requirements
Communicate with suppliers regarding orders, deliveries, shortages, and substitutions
Track supplier confirmations and follow up on late or incomplete deliveries
Support price checks and ensure accurate pricing on ordering systems
Stock & Inventory Support
Monitor stock levels and flag low stock, over-stocking, or potential waste
Assist with inventory accuracy and stock rotation processes
Support stock reconciliation and investigate variances as required
Quality & Compliance
Support quality checks on incoming goods in line with company food safety and quality standards
Report quality issues to Buyers and suppliers and assist with follow-up actions
Ensure all purchasing processes comply with food safety and internal procedures
Systems & Administration
Maintain accurate purchasing records and supplier information
Update internal systems with pricing, product, and supplier data
Support reporting on purchasing activity, pricing, and supplier performance
Work closely with Warehouse, Operations, and Quality teams to ensure alignment between purchasing and delivery requirements
Escalate supply risks, shortages, or issues promptly
Contribute to continuous improvement within the purchasing function
Key Requirements
Strong interest in food, fresh produce, or supply chain operations
Excellent organisational and time-management skills
Ability to work effectively in a fast-paced environment
Strong attention to detail, particularly with orders, pricing, and quality
Good numerical skills and confidence working with data
Strong communication and teamwork skills
Proficiency in Excel or similar systems
Proactive, flexible, and eager to learn
Experience in retail, wholesale, food production, or FMCG
Knowledge of seasonal produce or food supply chains
Qualification or ongoing study in Business, Supply Chain, Food, or related field
