OverviewThe Contracts Manager Assistant will support the Contracts Management team in maintaining strong client relationships, coordinating maintenance and service operations, and managing procurement and reporting activities. This role requires excellent communication, organization, and multitasking skills within a dynamic maintenance and building services environment.Working RelationshipsMaintain positive working relationships with colleagues.Build and sustain strong relationships with customers.Keep the workplace tidy and organized.Responsibilities
Business Development
Support customers, department management, and staff.
Manage key customer accounts.
Develop and maintain customer relationships.
Provide technical support to both staff and customers.
Prepare and issue reports, quotations, and tenders in a timely manner.
Service Calls
Respond to incoming service calls.
Log and document calls in the internal system (training provided).
Prioritize and coordinate service and maintenance engineers.
Confirm service appointments with customers.
Review and verify service reports.
Prepare and process documentation for invoicing.
Ensure invoices and service reports are issued promptly to customers.
Maintenance Visits
Schedule maintenance visits and assign maintenance engineers.
Ensure all visits are completed as planned and on schedule.
Process quotations, reports, and invoices for additional works identified during maintenance visits.
Coordinate preventive maintenance activities with the department manager.
Purchasing
Issue and process purchase orders.
Approve and record delivery dockets.
Approve and process supplier invoices.
Monitor supplier performance and report any issues.
Perform other related duties as required by management.
Qualifications & Experience
Degree in Building Services or a related discipline.
Minimum of 2 years’ experience in the HVAC industry.
Minimum of 2 years’ experience in HVAC services.
Strong communication and organizational skills.
