Full-time Office Administrator - Job Description & Person Specification Job Title:Office Administrator with Five Rivers Fostering Services (Based in Bridgend, co. Donegal).
Reporting to:Principal Social Worker and the Senior admin.
Location:This position is office based inBridgend, co.
Donegal.
Hours:Full-time role Mon-Fri, 9am-5pm (hybrid model) Remuneration/Benefits: €30,000 to €34,000 depending on experience / Attractive benefits included.
Company Description: Five Rivers Fostering is an independent private fostering agency and has been in operation in Ireland since ****.
We were the first private fostering agency to be established in Ireland.
Five Rivers was originally founded in England before setting up an office in Dublin, Ireland.
Our Cork Office has been in operation since January ****, we also have established a team in the Northwest covering Donegal, Sligo, Leitrim, Mayo, and Galway.
Our Northwest office in Donegal opened in ****.
We work closely with Tusla.
We are a social enterprise and provide a range of therapeutic and practical support to our foster carers and young people who are placed in our care.
Head Office Location: Five Rivers Ireland, Unit 4 Block 8, Corporate Business Park 1, Blanchardstown, Dublin 15.
Duties and Responsibilities: Provide a range of administrative support to the staff team and help in developing the office set up and administrative systems.
General office duties: Be responsible for opening and closing of office once established.
Developing administrating systems for new office.
Answering phones (when required).
Meet and greet all visitors to office.
Managing all post in and out of the office.
Building positive relationships with staff, carers, and external agencies.
Set up and use a range of office equipment, photocopier, scanner, printer etc.
Filing forms using electric filing systems.
Scanning and uploading documents to our electric recording systems.
Manage and store confidential information relating to families and staff.
Work within GPDR policy and procedures.
Support to Link Workers/ Managers: Imputing information from hard copies into electric filing and recording systems for case files.
Upload various forms for staff to case files.
Checking that all necessary and mandatory documents for children foster carers are on file.
Prepare hard copies of documents and send to carers and eternal agencies and follow up to ensure these are completed and returned.
Support staff to keep information up to date on case files where possible.
Typing up notes / minutes for staff.
Minute taking at meetings and managing team meeting file.
Book venues and training rooms when required.
Help manager and staff team to prepare for inspections by completing and managing audits.
Support manager and staff to develop effective filing systems.
Teamwork: Maintain good communication with other team members in Five Rivers Ireland and with other companies and external agencies.
To liaise with outside agencies as appropriate.
Implement directions from supervisor working as part of the team in order to fulfil the goals of the team.
Support other team members.
Training & Professional Development: Participate in regular professional supervision.
Partake in annual appraisal and personal development plans.
Attend relevant and compulsory training workshops throughout the year.
Undertake ongoing professional training and development.
Health & Safety: Adhere to the Safety, Health and Welfare at Work Act *****) policies and procedures and other relevant legislation.
Report any immediate concerns/incidents of questionable practice to the designated supervisor.
Be familiar with Five Rivers Ireland Policies and Procedures and ensure that these are strictly adhered to.
Be familiar with emergency procedures (including Fire Safety) and know who to contact in an emergency.
Finance: Able to work within the agencies financial policy and procedures.
Accurately record any financial spending.
The post holder may be required to perform other duties as appropriate to the post which may be assigned to him/her from time to time.
Qualifications, Skills and Competencies: Essential: Proficient in Proficient in Microsoft Office Suite.
Previous experience in a similar role.
Good organisational and time management skills.
Good attention to detail and prioritising skills.
Excellent communication skills, both verbal and written.
Discretion in relation to confidential information.
Proactive and motivated approach, with the ability to work on own initiative and as part of a team.
Ability to work with individuals in a way that promotes their equality, dignity, diversity, and rights.
Ability to work within Five Rivers Policy and Procedures.
