Proposal Coordinator Job Description

Lead the preparation of competitive, high-quality proposal submissions for mechanical engineering projects. Ensure timely and compliant submissions to meet client requirements.

This role involves coordinating with cross-functional teams to compile accurate technical and commercial proposals. Key responsibilities include:

* Coordinate end-to-end preparation and submission of proposals for mechanical engineering projects, including HVAC, piping, and mechanical installations.
* Review and analyze tender documents (specifications, drawings, BOQs) to identify requirements and deadlines.
* Collaborate with engineers, estimators, and internal teams to gather technical inputs and pricing details.
* Manage proposal timelines, schedules, and deliverables to ensure timely and compliant submissions.
* Compile, format, and produce proposal documents, including technical proposals, method statements, and capability statements.
* Maintain and update a library of standard responses, case studies, and project references.
* Support post-submission clarifications, presentations, and follow-ups.
* Track proposal outcomes and contribute to continuous improvement through lessons learned.


Requirements:

* Previous experience in a proposal or bid coordination role within the construction or mechanical engineering sector.
* A basic understanding of mechanical systems and terminology.
* Strong organizational and time management skills, with the ability to handle multiple deadlines.
* Excellent written English and high attention to detail.
* Proficient in Microsoft Office Suite, especially Word and Excel; experience with Adobe Acrobat.
* The ability to interpret technical documents and drawings is an advantage.
* Experience with tender portals and procurement platforms.
* Familiarity with public and private sector bidding processes.
