The roles
Due to continued growth in the firm, we are seeking to recruit two Legal PAs to provide dedicated support across our three sub teams within the Litigation Department. These newly created roles offer an excellent opportunity for highly organised and proactive professionals to work closely with multiple colleagues in a busy litigation environment.
The successful candidates will play a key role in ensuring the efficient day-to-day operation of the department by providing comprehensive administrative, billing and case management support.
The successful candidates will join a busy team where they will gain hands on experience and a variety of work including:
Departmental & Administrative Support
Providing day-to-day administrative support across the three litigation sub teams, working with multiple solicitors and fee earners
Managing incoming and outgoing post for the Litigation Department to include regular, certified and registered post
Coordinating calendars, including meetings, court dates and key deadlines across the sub teams
Maintaining accurate and up to date files in line with firm procedures and regulatory requirements
Billing & Invoicing
Supporting fee earners across the three sub teams with billing and invoicing processes
Uploading documentation to client billing systems
Assisting with billing queries and follow ups
Generating billing, KPI and management reports as required
Document & Case Management
Preparing, formatting and compiling legal documents and court booklets for litigation matters
Managing electronic and physical file systems, ensuring accuracy, version control and compliance
Updating case management system (Legal Evolve) to support the smooth progression of cases
Assisting with setting up new clients and completing anti-money laundering requirements
Reporting & Systems
Producing reports to support case tracking and departmental performance across all sub teams
Ensuring consistent use of internal systems and adherence to firm policies
Qualifications
Previous experience in a legal support or legal secretarial role within a law firm or professional services environment
Strong organisational skills with the ability to support multiple teams simultaneously
Excellent attention to detail and ability to manage competing priorities
Strong communication and interpersonal skills
An excellent work ethic with a positive ‘can do’ attitude
Proficiency in legal case management and document management systems
Team player with strong communication & interpersonal skills
