Front of House is responsible for Managing Reception, Telephone System, maintaining a clean working environment, QHSE admin support and administrative support to all Directors.
Core Duties
* Management of Incoming Telephone Calls
* Ensuring the telephone is answered within 5 rings.
* Answering, screening, and forwarding all incoming phone calls promptly
* Receiving visitors, greeting, welcoming, directing and announcing them appropriately.
* To perform reception duties during opening hours and delivery of a professional service
* To maintain an enjoyable/clean working environment, specifically;
* Management of Reception, Canteen, and all Public Access Areas, ensuring all are fit for use each day with morning and afternoon checks.
Duties & Responsibilities:
* Ordering and maintaining stationery and equipment.
* Locating best price of stationary, canteen supplies, janitorial equipment.
* Approval of Invoices relating to the stationery and equipment ordered.
* Updating of Staff Contact Listing of phone numbers /emails
* Assisting with requested project administration i.e. valve charts / checklists
* Dealing with all requests from site i.e. stationary, stickers, PPE etc.
* Ensuring Office Health & Safety Documentation i.e. Fire register, emergency procedures, sign in/out register and QHSE Policies are current and displayed.
* Assist Projects and offices with IT Equipment/software Issues with IT Company.
* Assisting with ad hoc requests from Directors/Head Office Staff.
Quality Health Safety & Environmental Management:
* Management of Sub-Contractor and Supplier Database
* Compiling all information required for new contractors and approval from insurance co.
* Contacting those who are due to expire and update database
* Assisting with the maintenance of Training Matrix
* Contacting those due to expire and arrange re-training at the best cost
* Updating of training matrix with new expiry dates and removal of old certs
* Compiling Job Site Folders
* Management of Calibration Register
* Liaising with calibration company/site to arrange new calibration
* Management of weekly on hire register
* Collating weekly on hire listing and check against supplier listing, follow up errors
* Liaise with site to ensure equipment is still needed and return date to be set
* Ordering and maintaining PPE Register
* Management of the Vehicle Register
* Liaising with Director of Finance on driver / vehicle amendments
* Booking car services / CVRTs / Valets
* General administration
ISO Responsibilities
Comply with Riverside Mechanical QHSE Management System requirements i.e. perform your work according to your process documents, procedures and maintaining document information/completing department forms/records as required.
* Understand and apply our QHSE policies statement in all aspects of your work.
* Contribute towards achieving Riverside Mechanical company objectives
* Ensure that the needs and requirements of Riverside Mechanical internal staff and customers are understood and delivered.
* Help develop and improve Riverside Mechanical internal processes and management system by reporting corrective actions, updates and improvement ideas.
