Job Title: Regional Secretary
Location: Portarlington Regional Office
Reporting to: Head of Care
Schedule: Monday- Friday
Hours: 39 hours per week
Contract type: Fixed term- Maternity cover
Introduction:
GALRO have over twenty years' experience as a leading provider of Social Care and clinical support services in Ireland.
We are currently seeking to recruit a Regional Secretary (maternity cover) to join our team on a fixed term basis.
Key Requirements:
* Be of excellent character.
* Hold a relevant qualification in business/office administration (preferred).
* Have a minimum of 2 years clerical administrative experience.
* Have excellent communication, listening and interpersonal skills.
* Demonstrate strong analytical skills.
* Have experience scheduling meetings and taking concise minutes.
Key Tasks:
* Front desk management- greeting visitors and staff members.
* Maintain a clean, organised and welcoming reception area.
* Answer incoming calls and direct appropriately.
* Schedule meetings as requested and attend meetings for the purpose of taking minutes.
* Compile information and prepare reports from notes and data collected.
* Type letters, reports and documents relevant to day-to-day operational duties.
* Monitor and replenish essential office supplies.
* Manage internal requisitions.
* Liaise with managers to maintain weekly staff hours on the payroll system,
* Organise and maintain appropriate filing systems for both electronic and hard copy files.
* Liaise with maintenance personnel and managers to prioritise, schedule and communicate work activity.
