Title: Transport Service Administrator (For Volunteers)

Reports to: Transport Service Coordinator

Contract type: Permanent

Hours: Part time - 21 hours per week - 9am to 5pm

Set days: Monday, Tuesday & Wednesday. Time flexibility required

Location: The Society operates a hybrid working model with a combination of remote and in-person (Dublin 4 office) working

Office Days: Dublin 4 office attendance will be every Wednesday

Salary: €31,500 per annum (FTE) full time equivalent - €18,900 Pro Rata for part time hours

What you’ll do

A cancer diagnosis impacts all areas of a person’s life. At the Irish Cancer Society, we aim to reduce this burden of cancer and improve the quality of life for everyone affected by cancer.

To do this, the Irish Cancer Society provides a free transport service to referred patients, identified as being in need by our hospital partners. This service supports patients through the provision of a volunteer delivered, door-to-door transport service.

As the Transport Service Administrator (Volunteers) you will be responsible for taking incoming calls, booking hospital drives, sourcing drivers and responding to driver queries.


Main Duties & Responsibilities


Volunteer Driver Support

* Ensure a person-centred approach is applied across all interactions with volunteer drivers and maintain a top-class volunteer experience for every volunteer driver
* Assist in the delivery of driver support sessions.
* Deliver a call-based support for new drivers to the service
* Deliver a call-based support for existing drivers to the service
* Respond to queries in an efficient and professional manner


Daily administration

* Create and process client drives on database (Dynamics);
* Source volunteer drivers for hospital appointments;
* Respond to driver queries in a timely manner;
* Ensure clients are informed as early as possible about driver availability.
* Create & maintain volunteer driver’s records including availability.


Person Specification

* Empathetic and compassionate: you will put the needs of the volunteer driver and the service first, demonstrating care and compassion toward all those you interact with
* A people person: whether taking a call from a distressed driver or from a family member, you understand what makes people tick and have an ability to create effective relationships.
* A great communicator: you are able to communicate effectively across multiple channels (face-to-face, over the phone, written, digital) and adapt your style to meet the audience where they are.
* Wonderfully Organised: you are able to maintain a large database and take pride in being detail oriented.
* A team player: you work flexibly and collaboratively within your team and are willing to support others where necessary. You work well with colleagues, building strong relationships.
* Technologically savvy: you’re comfortable using digital and technology tools. You will have a high level of proficiency in MS Office suite, and experience of working with CRM systems and databases. Experience with MS Dynamics an advantage


Qualifications and Experience

* You will typically have a minimum of 3 years relevant work experience in an administrative, customer focussed delivery role. The Society measures experience based on the quality of the experience obtained, rather than in time passed and welcomes applicants at all stages of their career.
* Experience of working in a fast paced data entry and administration, with a strong emphasis on speed and accuracy of data entry.
* Experience working with volunteers or ability to demonstrate knowledge and understanding of volunteering, why people volunteer and how we can retain them and provide the best possible volunteering experience.


General

* The Irish Cancer Society operates a no-smoking policy and the post holder must not smoke in the office or when on Society business outside the office.
* Be willing to occasionally work outside of normal working hours.
