Role Purpose Reporting to the Operations Manager, the Tote On-Course Operations Co-Ordinator is responsible for overseeing all aspects of Tote service delivery on course.
As a key member of the race day team, the role ensures business targets and KPIs are achieved, while leading and directing casual staff and supporting optimal on-course operations.
Responsibilities: Manage casual staff requirements for specified race meetings across all racecourses (including Down Royal and Downpatrick), ensuring high performance standards.
Lead and support the delivery of best-in-class customer service through effective use of technology.
Ensure on-course messaging and service delivery are aligned with brand standards and customer expectations.
Oversee the deployment, operation, and maintenance of Tote systems and infrastructure.
Provide support before, during, and after race day fixtures, resolving issues in real time and ensuring operational continuity.
Technology, Logistics Operations Pre-Racing Fixture Plan and coordinate all advance setup activities for each race fixture, including reviewing network operations, facilities, materials, and training resources.
Ensure sufficient equipment (e.g. terminals, TVs, Clover devices) is available, transported, and deployed in advance, including for major festival fixtures.
Confirm and approve screen layouts and advertising prior to go-live.
Race Day Activities Act as the single point of contact for all on-course Tote operations, providing leadership and direction to staff.
Manage setup and operation of terminals, LAN connectivity, and TV channel mapping.
Conduct system checks and resolve technical or operational issues promptly, keeping stakeholders informed.
Oversee cash management processes including receiving, storing, and reconciliation.
Prepare float requirements and coordinate setup of mobile betting locations.
Compliance Implement AML procedures in line with statutory requirements and ensure staff adherence.
Conduct risk assessments and ensure compliance with health and safety legislation at all Tote locations.
Promote a safe working environment and ensure all activities meet legal obligations.
Performance Delivery Deliver on KPIs by optimising staff deployment and driving continuous improvement.
Provide detailed post-race reports and debriefs to the Operations Manager and management team.
Maintain effective communication with key stakeholders.
Review processes and systems to identify efficiencies and improvements.
Ensure accurate completion of reports and records for tracking and analysis.
Maintain oversight of equipment inventory and support forward planning aligned to the racing calendar.
People Management Work with the Resource Coordinator to ensure appropriate staffing levels aligned to customer experience and budget requirements.
Identify training needs and provide ongoing coaching and development for casual staff.
Deliver team briefings and regular performance updates throughout race days.
Skills and Experience: Strong technical knowledge and aptitude with ability to become subject matter expert in relevant technology platform.
Excellent customer service skills with the ability to build good relationships.
Previous experience of managing people, including a casual and transient workforce Excellent interpersonal and communication skills with the ability to manage a multiple number of stakeholders.
A self-starter who is deadline driven, results oriented and solution focused.
Excellent organizational skills and attention to detail with the ability to work with large or multi-site venues.
Competent on all Microsoft packages.

Additional Information: A full driving clean licence is essential as this role involves extensive driving.
This role is based in Ballymany, Newbridge, Co.
Kildare, howver the successful candidate will be required to travel to racecourses throughout the country.
They will also be required to work weekends, Bank Holidays and evenings and will be required to spend short periods of time away from home to support racing and customer needs.
